Bank Statements
In PMSuite, there is no separate "Bank Statement" screen — the statement equivalent is the transaction history held against one of your bank or cash accounts. Each account carries an opening balance and accumulates the payments and expenses you record against it, so the account view acts as PMSuite's own running record of money in and out — the record you compare against the statement your bank sends you.
Who can use it
Access follows your role's permissions for the Bank Account module. If the module or the account is not visible to you, ask a company admin to review Settings → Roles & Permissions. After any permission change, log out and back in — permission changes do not always apply to an already-active session.
Prerequisites
- The Bank Account module must be enabled for your company under Settings → Module Settings.
- At least one bank or cash account must exist. See Bank Accounts.
- Transactions must have been recorded against that account. See Bank Transactions.
How to Access
Sidebar → Finance → Bank Account (/account/bankaccounts), then open the account you want to review.
What the account record holds
Each account is created as either a Bank or a Cash account, with its own field set:
| Field | Notes |
|---|---|
| Sort Code | Bank accounts |
| Bank Name | Bank accounts |
| Account Holder Name | |
| Account Number | |
| Account Type | Saving or Current |
| Currency | Per-account currency |
| Contact Number | |
| Opening Balance | Starting point for the running balance |
| Status | Active or inactive |
| Bank Logo | Optional image |
The Opening Balance is the anchor for everything that follows: the account's balance at any point is the opening balance plus every transaction recorded against it up to that point.
What feeds an account balance
Bank accounts are selectable on the records that move money, so those records are what build up the statement history:
- Invoices — a Bank Account field is available on the invoice; it directs the client to the account you want paid, and the movement is recorded when the payment is entered.
- Payments — a Bank Account field is available when recording a payment, alongside Transaction ID, Currency and Exchange Rate.
- Expenses — a Bank Account field is available on the expense, alongside Currency, Exchange Rate, Purchase Date and Purchased From.
- Recurring expenses — the same field set as an expense, plus Billing Frequency and Total Count, so each generated copy lands against the same account.
- Estimates — carry a Bank Account field as well, though the movement itself is only recorded once a payment is entered.
Anything you record without selecting a bank account will not appear against that account's history.
Reviewing a period
To review a specific month or quarter, open the account and read its transactions for that range, then cross-check against the source lists:
- Payments (
/account/payments) — each payment records Paid On, Amount, Currency, Exchange Rate, Transaction ID, Payment Gateway and Bank Account, so you can identify which payments belong to the account and the period. - Expenses (
/account/expenses) — review what was charged to the account by Purchase Date. The expense list also offers Export, which is the quickest way to work through a period outside PMSuite.
Transaction dates are set with a date picker and remain editable after saving, so a transaction entered against the wrong day can be corrected without deleting and re-creating it.
Effect on other features
- Bank Accounts — the account's own balance reflects everything recorded against it; correcting a transaction changes that balance.
- Expenses and Payments — these are the source records. Editing or deleting an expense changes what the account history shows.
- Finance reports — Expense Reports view spending by category, while the account view is account-level cash movement. The two answer different questions and are best used together.
Limitations
- No automatic bank feed. PMSuite does not connect to your bank to pull transactions in; the account history reflects only what has been recorded in PMSuite. Workaround: record payments and expenses against the correct bank account as they happen, and reconcile monthly against the statement your bank issues. Bank Feeds is listed as an upcoming feature (no confirmed release date).
- Balances are per-account currency. An account carries a single currency, so a multi-currency picture requires reviewing each account and using the exchange-rate fields on payments. Workaround: set Currency and Exchange Rate on every foreign-currency payment and expense, then combine accounts in a spreadsheet — the Export action on the expense list gives you a head start.
Troubleshooting
The account shows no activity for a period. Either nothing was recorded in that range, or the records exist but were saved without a bank account selected. Open the relevant payments and expenses and check whether the Bank Account field was filled in; set it and the balance will follow.
The balance does not match your bank. Start from the opening balance. A mismatch is almost always a missing record, a transaction dated to the wrong day, or a record assigned to a different account. Transaction dates stay editable after saving, and the Bank Account field on the source payment or expense can be changed, so both are correctable in place.
You cannot see the Bank Account menu. Confirm the module is enabled in Settings → Module Settings, then check your role in Settings → Roles & Permissions, and log out and back in.
