Finance Report

The Finance Report is an income report built on your recorded payments. It shows how much money actually came in over a period, charted over time and listed payment by payment, with links back to the originating project and invoice. Use it when you want to answer "what did we collect this month, and where did it come from?" without opening every invoice individually.

It is an earnings view, not a profit-and-loss view: it reports money received, not costs. For spending and for income-versus-cost comparison, use the Expense Report and the Income vs Expense Report.

Who can use it

Users whose role grants the View Finance Report permission (typically the Company Admin). Without that permission the page returns an access-denied error. Permissions are managed in Settings → Roles & Permissions.

The Reports module must also be enabled for your user type in Settings → Module Settings.

Prerequisites

  • Payments must be recorded — the report reads payment records, so an invoice with no payment against it contributes nothing.
  • Payments must have reached Complete status. Pending payments are excluded from both the chart and the table.
  • Set up Projects and Clients if you want to filter earnings by project or client.
  • Confirm your company currency in Settings → Currency Settings, since converted totals are expressed in it.

How to Access

Go to Finance → Reports → Finance Report, or open /account/finance-report directly.

The page opens with the date range preset to the first day of the current month through today.

Filters

FilterWhat it does
DurationA date-range picker applied to the payment's Paid On date. Defaults to month-to-date; presets and custom ranges are both available.
ClientLimits results to payments whose project or whose invoice belongs to that client. Shown only when the Clients module is enabled for you.
ProjectLimits results to payments recorded against that project.

Clear Filters resets everything back to the default view. Filters apply to the earnings widget, the chart and the table together.

What the report shows

Total Earnings widget

A single figure at the top: the sum of all complete payments in the filtered range, converted into your company's default currency.

Earnings chart

A time-series chart of complete payments plotted by Paid On date across the selected range, so you can see when money actually landed rather than when it was invoiced.

Payments table

ColumnDescription
ProjectThe project the payment was recorded against; links to the project. Shows -- when the payment has no project.
Invoice #The linked invoice number; links to the invoice. Shows -- for payments recorded without an invoice.
AmountThe payment amount in the currency it was received in.
Amount (company currency)The same payment converted into your company's default currency.
Paid OnThe date the payment was received, in your company date format.
StatusThe payment status. Because the report only includes complete payments, this reads Complete on every row.

The table is sorted newest-paid first. The search box matches project name and payment amount; it does not match the invoice number shown in the Invoice # column. Workaround: to find a specific invoice's payment, search by its amount or project, or open the invoice from the Invoices list and view its payments there.

Exporting

If your role allows exports, an Excel export button appears above the table and exports the payment rows as currently filtered.

Effect on other features

  • Payments: this report is a read-only view of payment records. Recording, editing or deleting a payment changes what appears here. Deleting a payment row does not delete the related invoice.
  • Invoices: invoices themselves do not feed this report — only the payments recorded against them do. An invoice can be Sent and still contribute nothing until it is paid.
  • Currency settings: the converted column and the Total Earnings figure follow your company's default currency and the exchange rate stored on each payment.

Limitations

  • Income only — no expenses, no net profit. The report totals money received; it has no expense or profit figure. Workaround: use the Income vs Expense Report for the comparison and the Expense Report for spending detail.
  • Excel only — no PDF export. Workaround: export to Excel and save or print to PDF from your spreadsheet application, or print the page from your browser for a quick visual summary.
  • Complete payments only. Pending payments are invisible here, so a recently taken payment can appear "missing". Workaround: check the Payments list, which shows every status.
  • Unpaid and overdue invoices are not tracked here. Workaround: use the Invoices list filtered by Unpaid, and configure invoice payment reminders in Finance Settings.
  • No employee or expense-category dimension. Workaround: filter by project or client, or use the Expense Report for category-level analysis.

Troubleshooting

I get an access-denied error opening the report. Your role lacks the View Finance Report permission. Ask an admin to grant it in Roles & Permissions, and confirm the Reports module is enabled for your user type.

The report is empty even though invoices exist. Invoices alone do not appear. Record a payment against the invoice, make sure it is Complete, then re-check the date range.

A payment I recorded is not showing. Check three things: its status is Complete, its Paid On date falls inside the selected duration, and the Client/Project filters are not excluding it. Clear the filters to confirm.

The converted amount looks wrong. The company-currency column uses the exchange rate stored on that payment. Correct the rate on the payment record, or update the currency's exchange rate in Currency Settings for future entries.

The Client filter shows nothing for a client I know paid. The filter matches the client on the payment's project or invoice. A payment recorded with neither a project nor an invoice has no client to match; link the payment to its invoice or project.

No export button appears. Data-table export is not permitted for your role. Ask an admin to review your role's export permission.
