White-Label Setup Overview

White-labeling in PMSuite lets you present a fully branded experience to employees and clients. This overview ties together the four pillars of white-labeling: Custom Domain, Company Profile, Login Branding, and Custom Email — plus how Theme Settings gives you separate visual control over each panel.

Who Can Use It

Super Admin only. All white-label configuration pages are restricted to the Super Admin role.

Prerequisites

  • The white-label add-on must be active on your account (available on any plan).
  • Have your branding assets ready: logo images (PNG recommended), favicon, and your brand hex color code.
  • If you plan to use a custom domain, have DNS access for the domain you want to connect.
  • If you plan to use custom email, have your SMTP credentials or Resend API key ready.

How to Access

White-label settings are split across dedicated pages in the sidebar:

SectionPath
Custom Domain/account/custom-domain
Company Profile/account/white-label/company-profile
Login Branding/account/white-label/login-branding
Theme SettingsSettings > Theme Settings
Custom Email SetupSettings > Custom Email Setup

1. Company Profile

Path: Sidebar > White-Label > Company Profile (/account/white-label/company-profile)

Set the identity that replaces PMSuite branding across your workspace:

FieldPurpose
Company NameAppears in the browser title bar, emails, and login page
App NameThe product name shown throughout the UI
EmailContact email displayed on branded pages
PhoneContact phone displayed on branded pages
WebsiteYour company URL

These values mirror what is set in Settings > Company Settings; updating either location keeps them in sync.

2. Login Branding

Path: Sidebar > White-Label > Login Branding (/account/white-label/login-branding)

Customize the login page your employees and clients see. The editor has three tabs:

  • Theme & Colors — Choose from multiple color theme presets. A live preview updates as you edit.
  • Content & Text — Set the text shown on the login page. Text fields can be saved blank if you prefer a minimal login screen.
  • Logos & Images — Upload your light-mode and dark-mode logo variants.

Logo dimension limit: Maximum 750 px x 750 px. This is a pixel-dimension cap, not a file-size cap. A file well under 1 MB will still be rejected if either dimension exceeds 750 px. Resize before uploading.

Per-tenant sign-up terms are shown on the client signup page when configured under Sign Up Settings.

3. Theme Settings (Per-Panel Control)

Path: Settings > Theme Settings

Theme Settings provides separate theme control for each panel:

PanelWhat it controls
Public PagesCareer site, client signup, public project boards
Admin PanelSuper Admin and Admin dashboard
Employee PanelEmployee self-service portal
Client PanelClient portal

For each panel you can independently set:

  • Primary color — Hex code for buttons, links, and accents.
  • Sidebar theme — Dark or Light.

Additional global settings:

  • Light Mode logo and Dark Mode logo — Separate logo variants so your logo is visible regardless of the active theme.
  • Favicon — The icon shown in browser tabs.
  • Background pattern — Choose from: None, Dots, Grid, Diagonal, Circles, Topo, Hexagons, Grain, Mesh.

Tip: After changing theme settings, test each panel (Admin, Employee, Client) in both light and dark mode to confirm your logos and colors render well.

4. Custom Domain

Path: Sidebar > White-Label > Custom Domain (/account/custom-domain)

Connect your own domain (e.g., hr.yourcompany.com) so users never see a pmsuite.co URL. Key facts:

  • SSL is provisioned automatically via Let's Encrypt and auto-renews.
  • The page shows an Active Since date and a Fallback URL.
  • Available actions: Change Domain, Remove Domain, Upload SSL Certificate (for custom certs).
  • Super Admins can reprovision SSL if a certificate expires or encounters an error.
  • Custom-domain removal is scoped to your own tenant and is audit-logged.
  • reCAPTCHA validation is skipped on white-label custom domains, so you do not need to whitelist the custom domain in Google reCAPTCHA admin.
  • Subdomain sign-in forms and redirects use your configured main domain.
  • Email notification links automatically use your custom domain once it is active.
  • The correct tenant theme is applied on custom-domain login pages.

For full DNS setup steps, see Custom Domain Settings.

5. Custom Email Setup

Path: Settings > Custom Email Setup

Without custom email configured, all system emails send from the shared default address notification@pmsuite.co. To complete white-labeling, set up your own sending domain.

The Custom Email Setup page has three tabs:

  • Custom Email Setup — Enter your SMTP credentials (Host, Port, Encryption, Username, Password, From Name, From Email). Supported providers include Gmail, Microsoft 365/Outlook, cPanel, Resend, Amazon SES, SendGrid, Mailgun, Zoho Mail, Postmark, and SMTP2GO. MX-based domain verification is available. Background test emails confirm delivery before you go live.
  • Email Branding — Upload a logo, set a brand color, configure Reply-To address, greeting, sign-off, and footer text. A live preview updates as you edit. OTP and system emails use your tenant's branding and a neutral configurable footer.
  • Email Notifications — Control which notification types send email.

Once configured, all outgoing emails — including OTP codes, invoice PDFs, and system notifications — use your branding and send from your domain. White-label clients no longer receive PMSuite-branded welcome emails or tracking events.

Limitations

LimitationWorkaround

Theme Settings does not expose a per-panel background-pattern selector (patterns are global)Choose a neutral pattern that works across all panels
Branding style selection must be explicitly savedClick Save after every change — unsaved edits are lost on navigation
