Expense Categories

Expense Category is one of the fields on every expense record in PMSuite. It classifies what the spend was for, so that expense lists and expense reporting can be grouped and filtered by type of cost rather than by individual line item.

This article explains where the Expense Category field appears, how it behaves alongside the other expense fields, and what it affects elsewhere in Finance.

Who can use it

Anyone whose role gives them access to the Finance module's Spending → Expenses area. Visibility of the Expenses module itself is controlled centrally: Expenses is one of the modules that can be switched on or off for the company in Module Settings, and access within it follows your Roles & Permissions configuration.

Prerequisites

  • The Expenses module must be enabled for your company in Module Settings.
  • Your role must permit creating or editing expenses if you want to set or change a category.

How to Access

  • Expenses: /account/expenses — Finance → Spending → Expenses
  • Recurring Expenses: Finance → Spending → Recurring Expenses
  • Expense Report: /account/expense-report
  • Income vs Expense report: /account/income-expense-report
  • Finance dashboard: /account/finance-dashboard

The Expense Category field appears on the expense form itself — it is not a separate page you visit on its own.

The Expense Category field in context

An expense record carries the following fields:

FieldNotes
Item NameWhat was purchased.
CurrencyCurrency the expense was paid in.
Exchange RateUsed to convert the amount for reporting.
PriceAmount of the expense.
Purchase DateDate the spend occurred.
EmployeeWho incurred the expense.
ProjectOptional link to a project.
Expense CategoryThe classification covered by this article.
Purchased FromVendor or supplier the item came from.
Bank AccountAccount the expense is paid from.
DescriptionFree-text detail.
Bill uploadAttach the receipt or bill.

Every expense also carries a status of Approved, Pending, or Rejected, and the Expenses list supports Import and Export actions.

Recurring expenses use the same field set as one-off expenses — including Expense Category — plus Billing Frequency and Total Count. A Total Count of -1 means the recurrence is infinite and keeps generating until you stop it manually; any positive number sets a fixed number of occurrences. Because the category is part of the recurring template, every generated occurrence inherits the same category.

Choosing categories that report well

Categories only pay off at reporting time, so design them around the questions you want the Expense Report and the Income vs Expense report to answer:

  • Keep names short and unambiguous, and keep the set small enough that people pick the same category for the same kind of spend every time.
  • Push the fine-grained detail into Item Name and Description rather than into extra categories — those fields are what make an individual line identifiable.
  • Use Project when you need cost attribution per project; that is a separate dimension from category, and the two work together.
  • Agree internally on the edge cases (for example, which category a client lunch belongs to) and write the rule down, since PMSuite will not enforce it for you.

Effect on other features

  • Recording expenses: the Expense Category is chosen on the expense form when the expense is created or edited. See Recording an Expense.
  • Importing expenses: imported rows carry their category through the expense import. The import accepts ISO YYYY-MM-DD purchase dates.
  • Recurring expenses: Recurring expenses inherit the category from their template on every generated occurrence.
  • Reporting: categories are a grouping and filtering dimension in the Expense Report and feed the expense side of the Income vs Expense report and the Finance dashboard. Dashboard expense and revenue totals are converted to your default currency, so foreign-currency expenses roll up into category totals in one comparable currency.
  • Notifications: expense events are among the notification types that can be sent by email and, when the Slack integration is enabled, to a Slack channel. Slack is configured under Settings → Notification Settings → Slack tab, and delivery is one-way, PMSuite → Slack.

Limitations

  • Category is a single value per expense. An expense that genuinely spans two cost types cannot be split across categories on one record. Workaround: record it as two expenses against the same Purchase Date and vendor, splitting the Price, so each line lands in the correct category.
  • There is no automatic category assignment. PMSuite does not guess a category from the vendor or item name. Workaround: use Recurring Expenses for the predictable, repeating spend (subscriptions, rent, utilities) so the category is set once on the template instead of re-entered each period.
  • Changing what a category means does not restate the expenses already filed under it. Workaround: before repurposing a category, export the Expenses list first so you have a record of what was filed under the old meaning, then re-file the affected expenses.
  • Category totals are only as good as the data behind them. A large "miscellaneous"-style bucket makes reports unusable. Workaround: review the Expense Report per category on a regular cadence and re-categorise the outliers, then introduce a category for whatever pattern the review exposes.

Troubleshooting

  • A category isn't offered on the expense form. Confirm the Expenses module is enabled in Module Settings and that your role has permission to create or edit expenses — a view-only role cannot change expense data.
  • An imported expense landed with the wrong category. Check that the category value in the import file matches the value used in PMSuite exactly, then correct the affected records from the Expenses list. Re-import only after fixing the source file, to avoid duplicate rows.
  • Category totals in the report look too low. Check the status filter — expenses sit in Approved, Pending or Rejected, so a report scoped to Approved only will exclude anything still pending.
  • Foreign-currency expenses look wrong in a category total. Verify the Exchange Rate on the individual expense; dashboard and report totals convert to the company default currency using that rate.
  • A recurring expense keeps generating in an old category. Edit the recurring expense template itself — changing an already-generated occurrence does not change future ones. If the recurrence should stop, note that a Total Count of -1 means it continues indefinitely until stopped manually.
