Payroll Settings

Payroll Settings is where you define the building blocks payroll uses across your company: the salary components that make up earnings and deductions, and the salary groups that let you apply a shared set of components to a group of employees. You configure these once, then reuse them when setting up each employee's salary and when generating payroll.

Who can use it

Company Admin (and any role granted the equivalent settings permission). Settings pages sit under the company Settings area, so users without settings access will not see them.

Prerequisites

  • The Payroll module must be enabled in Settings → Module Settings.
  • Decide, before your first run, which earnings and deductions your company uses and whether each is a fixed amount or a percentage.

How to Access

Navigation: Settings → Payroll Settings (/account/payroll-settings).

The page is organised into tabs — Salary Components and Salary Groups.

Payroll Settings

Configure salary components

A salary component is one line that can appear on an employee's salary structure.

FieldWhat it does
NameThe label shown on the salary structure (for example, a basic pay or an allowance line).
TypeEarnings or Deductions — determines whether the amount adds to or subtracts from pay.
Value TypeFixed (a set amount) or Percentage (calculated from the value it is based on).

Component values can be defined separately for each pay frequency — Monthly, Weekly, Bi-Weekly and Semi-Monthly — so the same component can carry a different amount depending on the cycle in use.

Steps

  1. Go to Settings → Payroll Settings → Salary Components.
  2. Add a component and enter its Name.
  3. Choose Type (Earnings or Deductions).
  4. Choose Value Type (Fixed or Percentage) and enter the value for the cycle(s) you use.
  5. Save.

See Salary Components for how components behave on an individual salary structure.

Configure salary groups

The Salary Groups tab lets you group employees under a shared set of components, so employees on the same compensation structure can be assigned a group instead of having every component added one by one.

  1. Go to Settings → Payroll Settings → Salary Groups.
  2. Create a group and attach the components that belong to it.
  3. Save, then assign the group to employees on their Employee Salary record (/account/employee-salary).

Effect on other features

  • Employee Salary (/account/employee-salary) — components and groups defined here are what you pick from when setting up an employee's salary. Each employee also has their own salary cycle (Monthly or Bi-Weekly), set on their record rather than here, plus an Allow Payroll Generate toggle that can exclude them from a run.
  • Payroll (/account/payroll) — when you generate payroll, the resulting Net Salary and CTC figures are built from the components on each employee's salary structure.
  • Overtime — overtime rates are not configured here. Pay codes and the overtime policy live in Settings → Overtime Settings (default pay codes: Regular 1.0x, Holiday 2.0x, Day Off 1.75x). See Overtime.

Limitations

  • Salary cycle is not set on this page. The cycle used for an employee is chosen on their Employee Salary record (Monthly or Bi-Weekly). Workaround: set the cycle per employee in /account/employee-salary; different employees can be on different cycles.
  • Overtime rules are in a separate settings page. Workaround: configure pay codes and the overtime policy in Settings → Overtime Settings.
  • Editing a component does not rewrite payroll that has already been generated. Workaround: make the change, then regenerate the affected payroll, or correct it in the next cycle.

Troubleshooting

A component is not appearing on an employee's payslip. Components defined here are available for selection — they are not applied automatically. Open the employee's salary record in /account/employee-salary and confirm the component (or the salary group containing it) is attached to that employee.

An employee was skipped in a payroll run. Check the Allow Payroll Generate toggle on their Employee Salary record; when it is off, that employee is excluded even if others in the same group are included.

A percentage component calculates an unexpected amount. Confirm the component's Value Type is set as intended (Fixed vs Percentage) and that a value is entered for the pay frequency the employee is actually on — values are stored per cycle (Monthly / Weekly / Bi-Weekly / Semi-Monthly).
