Adding Assets

PMSuite's Asset Management module provides a centralized register for company property -- laptops, monitors, phones, desks, vehicles, software licenses, and other equipment. Adding an asset is the first step in tracking it through assignment, maintenance, and eventual retirement.

Who Can Use It

Users with permission to manage assets. Asset visibility is controlled through Settings > Roles & Permissions and can be toggled per user type (Admin, Employee, Client) in Settings > Module Settings.

Prerequisites

  • At least one Asset Type should be configured so you can categorize the asset. See Asset Types.
  • If you plan to assign the asset to an employee, that employee must already exist in the employee directory.

How to Access

Sidebar > Assets (/account/assets) -- then click the Add button.

Asset Form Fields

When you open the asset form, the following fields are available:

FieldDescription
Asset NameA descriptive label for the asset (e.g. "MacBook Pro 16-inch (2024)" rather than just "Laptop").
Asset TypeCategory from the dropdown -- Laptop, Monitor, Phone, etc. Types are managed in Asset Types.
Serial NumberThe manufacturer's unique identifier. Found on the device, purchase receipt, or system settings.
ValuePurchase price or current value of the asset.
LocationWhere the asset is physically located (e.g. "3rd floor server room", "Remote -- employee home").
StatusCurrent state of the asset (see below).
DescriptionFree-text field for specs, condition notes, configuration details, or other information.
PicturePhoto upload for visual identification and condition documentation.

Status Values

StatusMeaning

Non FunctionalNot working; may need repair or disposal.

DamagedHas physical damage.
Under MaintenanceCurrently being repaired or serviced.

Steps to Add an Asset

  1. Navigate to Sidebar > Assets and click Add.
  2. Enter the Asset Name -- use a name specific enough to distinguish the item from similar equipment.
  3. Select the Asset Type from the dropdown.
  4. Enter the Serial Number.
  5. Fill in Value, Location, Status, Description, and upload a Picture as needed.
  6. Click Save.

The asset now appears in the Assets list, where it can be filtered by type, status, and other criteria.

Effect on Other Features

  • Employee profiles -- when an asset is assigned to an employee, it appears on that employee's profile.
  • Asset history -- changes to the asset (assignments, status updates) are recorded in its history log.
  • Asset Settings -- organization-wide asset configuration is managed in Settings > Asset Settings (see Asset Settings).
  • Module visibility -- the Assets module can be shown or hidden per user type in Settings > Module Settings.

Limitations

  • Asset Type dropdown empty -- if no asset types have been created, the dropdown will have no options. Workaround: create asset types first. See Asset Types.
  • Employee not appearing in assignment -- the employee may not exist in the system or may be inactive. Workaround: verify the employee's record and status in the employee directory.
