Leave Management
Leave Management is the HR area where employees request time off and admins review, approve, and track it. It covers leave types and their yearly and monthly allowances, per-employee quotas, the approval flow, the shared leave calendar, and leave reporting.
Everything on this page is configured per company, so your leave types and allowances may differ from the defaults shipped with a new workspace.
Who can use it
- Admins and HR roles can configure leave types and allowances, review requests, and see leave across the whole company.
- Employees can apply for leave, see their own remaining quota, and track the status of their requests.
What each role can actually see and do is controlled in Settings → Roles & Permissions. Permissions there use four levels — None, Added (records the user personally added), Owns (records assigned to them), and All — set separately for view, create, edit, and delete.
Prerequisites
- The Leaves module must be enabled in Settings → Module Settings. If the Leaves area is missing from the HR menu, this toggle is the first thing to check.
- The employee applying must have an active employee record under HR → Employees (
/account/employees). - Leave types must exist in Settings → Leaves Settings. A new workspace already ships with a default set (below), so this is usually already done.
How to Access
- Leaves hub:
/account/leaves— the main list of leave requests and the entry point for applying and approving. - Leave report:
/account/leave-report/leave-quota— quota and usage reporting across employees. - Leave settings: Settings → Leaves Settings — where leave types and their allowances are defined.
- HR dashboard:
/account/hr-dashboard— HR-wide overview. Pending leaves also appear as a metric on the main dashboard. - Per-employee view: open an employee record at
/account/employees/{id}and use the Leaves and Leaves Quota tabs.
Default leave types and allowances
A new workspace starts with four leave types:
| Leave type | Days per year | Monthly limit | Paid |
|---|---|---|---|
| Casual | 10 | 2 | Paid |
| Sick | 8 | 3 | Paid |
| PTO / Earned | 15 | 5 | Paid |
| Unpaid | 0 allotted | 30 | Unpaid |
All of these values are configurable per company in Settings → Leaves Settings, and you can add your own leave types alongside them.
Working through leave
- Set up your leave types. In Settings → Leaves Settings, review the defaults and adjust the yearly allowance, monthly limit, and paid/unpaid setting for each type, or add types that match your policy. The settings screen has two tabs: General Settings and Archived Types.
- Check quotas. Each employee's remaining allowance per type is visible on the Leaves Quota tab of their employee record and in the leave report at
/account/leave-report/leave-quota. - Apply for leave. Employees submit a request from
/account/leaves, choosing the leave type and dates. - Approve or reject. Admins and HR review pending requests from the same Leaves area.
- Review with the calendar and reports. Use the leave calendar to spot overlapping absences before approving, and the leave report to track usage against quota over time.
See the linked articles below for step-by-step detail on each of these.
Effect on other features
- Attendance — attendance records use On Leave as one of their status values, so approved leave is reflected in the monthly attendance grid (
/account/attendances). - Dashboards — pending leave requests surface as a Pending Leaves metric on the dashboard, and leave data feeds the HR dashboard.
- Notifications — Leave Application is one of the events you can configure under Settings → Notification Settings (
/account/settings/notifications), including on the Slack tab if you have a Slack incoming webhook connected there. - Google Calendar — leaves are one of the object types that can be pushed to Google Calendar when Google Calendar Settings are configured and verified. The sync is one-way: PMSuite → Google Calendar. Items created directly in Google Calendar do not appear in PMSuite.
- Employee records — every employee record carries Leaves and Leaves Quota tabs showing their history and remaining balance, plus a Leaves Taken summary in the side panel.
Limitations
- Leave types cannot be permanently deleted. They can only be archived. Workaround: archive the type from Settings → Leaves Settings — it stops being selectable for new requests while historical records that used it stay intact, and you can review archived types on the Archived Types tab.
- Google Calendar sync is one-way only. Leave you record in PMSuite pushes out to Google Calendar, but time off someone enters directly in Google Calendar will never appear in PMSuite. Workaround: treat PMSuite as the system of record and always create the leave request in PMSuite first; the Google Calendar entry follows automatically.
- Permission changes may not apply to an active session. Workaround: after changing a role's leave permissions in Settings → Roles & Permissions, have the affected user log out and log back in.
Troubleshooting
The Leaves menu item is missing. Check Settings → Module Settings and confirm the Leaves module is enabled. If it is enabled and the user still can't see it, check that user's role under Settings → Roles & Permissions, then have them log out and back in.
An employee can't see leave records they expect to see. This is almost always a permission level rather than a bug. In Roles & Permissions, the HR/Leaves view permission may be set to Added or Owns rather than All. Adjust it, then have the user re-login.
Leave allowances don't match our policy. The values in the table above are only the defaults for a new workspace. Update each type's yearly allowance and monthly limit in Settings → Leaves Settings.
An employee has run out of a leave type mid-year. Check the Leaves Quota tab on their employee record to confirm the balance, then adjust the type's allowance in Leaves Settings, or have them apply under a different type such as Unpaid.
Approved leave isn't showing in Google Calendar. Confirm Google Calendar Settings are connected and verified for the company, that the per-type toggle for leaves is on, and that the individual user has Google Calendar enabled on their own profile.
