Workspace
Overview

Workspace

The Workspace module is the collaboration and operational hub of PMSuite. It brings together the tools teams use to communicate, track internal issues, broadcast announcements, manage physical assets, share knowledge, and stay compliant. Workspace sits alongside Sales, Projects, HR and Finance in the top-level module set, and its dashboard is available at /account/workspace-dashboard.

This article describes every section of the Workspace module, how to reach each one, and how it connects to the rest of the platform. Each section has its own dedicated article, linked at the end.

Who can use it

Access to each Workspace section is controlled by Roles & Permissions (Settings → Roles & Permissions), which covers Workspace alongside Sales, Projects, HR, Finance and Other.

  • Each permission is set to one of four levels: None, Added (records the user personally created), Owns (records assigned to them), or All.
  • Levels apply separately to view, create, edit and delete for each section.
  • A user set to None for a section will not see that section at all.
  • Workspace sections can also be toggled off entirely per user type — Admin, Employee, Client — in Settings → Module Settings.
  • After changing any permission, have the affected user log out and back in; permission changes do not always take effect in an already-active session.

Prerequisites

  • An active PMSuite account.
  • The relevant Workspace sections enabled in Settings → Module Settings for the user types that need them.
  • Permissions set in Settings → Roles & Permissions for each section you want users to access.
  • For Chat: Message Settings configured in Settings → Message Settings (scope and sound alerts).
  • For GDPR: access is available to superadmin, admin and tenant-admin roles.

Workspace Dashboard

Tickets

Tickets is a structured support workflow for tracking and resolving issues raised by clients or employees.

Key fields when creating a ticket: Requester type (Client or Employee), Requester Name, Contact Name, Assign Group, Agent, Project, Type, Subject, Description, File attachment, and an Other Details section for supplementary information.

Client submitters do not see the internal Ticket Group dropdown — that field is agent-visible only. Custom field values entered by the submitter are shown under their correct field labels.

Reply handling: Badges visually distinguish customer replies from internal admin replies in the thread. Tenant admins cannot close a support ticket directly from the reply form.

Public / guest access: Guest requesters can submit a ticket without logging in, via a guest token link. Once submitted, the guest receives a notification email containing a direct public link to view their ticket — no login required.

Round Robin auto-assignment is available in Settings → Ticket Settings → Round Robin, which distributes incoming tickets across available agents automatically.

If the Tickets module is disabled for a user type, those users are redirected gracefully rather than shown a 403 error. Tickets are also searchable by the requester's company name.

Events

Events is a shared calendar for scheduling company activities with clients and employees.

Views: Month, Week, Day, and List.

Creating events: Use Add Event for a one-off entry or Add Recurring Event for a repeating series.

Filters: Employee, Client, Status.

Events integrate with Google Calendar: when Google Calendar Settings are configured and verified, events created in PMSuite are pushed out to the connected Google Calendar. The sync is one-way — PMSuite → Google Calendar. Items created directly in Google Calendar do not appear in PMSuite. See Settings → Google Calendar Settings for setup.

Notice Board

Notice Board lets admins broadcast announcements to employees, clients, or both.

Fields on a notice: Title, Date, Audience (Employee or Client).

Audience controls exactly who sees each notice — a notice set to Employee is not visible to clients, and vice versa. Create separate notices if you need the same message to reach both groups.

The list is searchable and exportable. The module has been confirmed stable at 18 or more notices.

Messages

Messages is an inbox-style messaging system for direct conversations between team members and clients — separate from the formal ticket workflow.

Key actions: New Conversation, contact search.

The scope of who can message whom is governed by Settings → Message Settings:

  • Allow chat between client and employees: scope to All Employees or Only Project Members.
  • Allow chat between client and admin: toggled independently.
  • Sound notification alerts: on or off.

For real-time team and channel chat, see the Chat section below.

Chat

Chat is the real-time messaging workspace for team communication. Access it at /account/chat.

Capabilities:

  • Direct messages (DMs) and channels.
  • @mentions work in both DMs and channels.
  • File-only messages (attachment with no text body) are supported.
  • Unread message badges keep counts visible as conversations move.
  • Push notifications for new messages are reliable across devices.
  • The mobile back button works correctly from channel and DM views.

Client access: Clients do not auto-join channels. Access is governed by Message Settings — the scope setting (all employees vs. project members only) determines which employees clients can reach via chat.

Sound alerts for new messages are toggled in Settings → Message Settings.

Chat complements Messages (inbox-style, asynchronous conversations) and Tickets (formal support workflow) — they are three separate tools that serve different communication patterns.

Assets

Assets tracks physical items owned or assigned by the company.

Fields: Asset Name, Asset Type, Serial Number, Value, Location, Status, Description, Picture.

Status values: Available · Non Functional · Lost · Damaged · Under Maintenance.

Asset Settings (Settings → Asset Settings) controls configuration options for this section.

Knowledge Base

The in-app Knowledge Base lets you write and publish articles for your team and clients directly inside PMSuite, separate from any external help center.

Fields on an article: Heading, Category, Audience (Client or Employee).

Audience controls who can read each article. Categories are managed separately and articles are full-text searchable.

File uploads: PowerPoint files (.pptx and .ppt) are supported as article attachments, in addition to other file types.

Letters

Letters generates formal documents for employees — such as experience letters or salary certificates — using a rich text editor with a live preview.

To generate a letter: Go to /account/letter/generate → select Letter Type and Employee → fill in the employee's name → compose the body in the rich text editor → adjust margin settings (in pixels) as needed → Download or Print.

Letter templates are managed at /account/letter/template and reusable across multiple employees.

Tools

QR Code

The QR Code tool at /account/qrcode generates a unique URL-based QR code that can be used for attendance or other workflows. The code can be downloaded and printed. QR code clock-in must be enabled in Settings → Attendance Settings for attendance use.

Sticky Notes

Sticky Notes at /account/sticky-notes is a personal scratchpad accessible from the persistent sidebar. Notes are private to the logged-in user.

GDPR

The GDPR section at /account/gdpr manages data-privacy compliance settings for your workspace. It is accessible to superadmin, admin and tenant-admin roles.

Tabs available:

  • General
  • Right to data portability
  • Right to be informed
  • Right to Erasure
  • Right of Access / Rectification
  • Removal Request (Customer / Lead)
  • Consent Settings
  • Consent Lists

Key controls:

  • Enable / Disable GDPR compliance mode for the workspace.
  • Show GDPR link in customer navigation / footer toggle.
  • Cookie-consent toggle.

GDPR settings are saved per company — changes made in one tenant's settings do not affect any other.

Effect on other features

  • Notifications (Slack): Workspace events — including tickets, notices, events, messages and mentions — can be routed to a Slack channel. Slack is a supported incoming-webhook integration configured under Settings → Notification Settings → Slack. Per-event checkboxes control which Workspace events send a notification. Notifications flow one way: PMSuite → Slack.
  • Notification Settings (email and push): All Workspace-related events are included in the per-event toggles under Settings → Notification Settings. Per-channel (email, push) and per-event choices apply to Workspace events the same as they do across the rest of the platform.
  • Google Calendar (Events): Events created in PMSuite push to the connected Google Calendar when the integration is active and verified. The sync is one-way: PMSuite → Google. Events added directly in Google Calendar do not appear in PMSuite.
  • Projects (Tickets): Tickets can be associated with a specific project. A project's Tickets tab aggregates tickets linked to it.
  • HR (Employees): Employees are valid requesters and agents in Tickets. Letters are generated against employee records. Attendance QR codes in the QR Code tool tie into the HR Attendance module.
  • Roles & Permissions: Every Workspace section is permission-gated. Use Settings → Roles & Permissions to control access at the section and action level.
  • Module Settings: Each Workspace section can be turned off per user type (Admin / Employee / Client) in Settings → Module Settings without affecting the other sections.
  • White Label: GDPR consent links surface in the client portal footer when the GDPR link toggle is on. With white label active, emails triggered by Workspace events (ticket replies, notice notifications, etc.) use the tenant's own branding.

Limitations

  • Notice Board does not support dual audiences on a single notice. A notice is set to Employee or Client, not both. Workaround: create two separate notices with the same content if both groups need to see it.
  • Messages and Chat serve different patterns; they do not merge. Inbox-style Messages and real-time Chat are separate tools. Workaround: use Chat for real-time discussion and Messages for asynchronous client correspondence.
  • Client auto-join to Chat channels is not available. Clients access chat only through the scope configured in Message Settings. Workaround: confirm Message Settings allows clients to reach the employees they need to, and inform clients of the Chat path (/account/chat).
  • GDPR section is restricted to superadmin / admin / tenant-admin roles and is not accessible to standard employees or clients. Workaround: if a team member needs to manage GDPR requests, assign them an admin role.
  • The Knowledge Base inside the platform is separate from pmsuite.co/help. Articles you write here are for your own workspace users and clients, not the PMSuite public help center.
  • Google Calendar sync is one-way. Items created in Google Calendar do not appear in PMSuite Events. Workaround: create the event in PMSuite and let it push out to Google Calendar.

Troubleshooting

A user cannot see the Tickets, Events, or another Workspace section. First check Settings → Module Settings to confirm that section is enabled for their user type (Admin / Employee / Client). Then check Settings → Roles & Permissions to confirm their role has a view level above None for that section. After any change, have them log out and back in.

A client is not receiving ticket notification emails. Confirm the client record has Receive Email Notifications turned on. Also verify Settings → Notification Settings has the Support Ticket event toggled on for the email channel.

A guest ticket submitter says they did not receive a link to view their ticket. Check that the notification email dispatched successfully (Settings → Custom Email Setup if custom SMTP is configured). The guest link is included in the notification email automatically once the ticket is created.

Slack notifications for Workspace events are not arriving. In Settings → Notification Settings → Slack, confirm Status is enabled, the Slack Webhook URL is saved (format: https://hooks.slack.com/services/...), and the relevant Workspace event checkboxes are ticked. Use Send Test Notification to verify the webhook is reachable.

Push notification sounds are not playing. Browsers may block autoplay for notification sounds. Ensure the user has allowed audio autoplay for the PMSuite domain. The sound alert toggle is in Settings → Message Settings.

GDPR settings appear to reset or don't save. GDPR settings are saved per company. Confirm the user is logged into the correct workspace, and that their role is superadmin, admin or tenant-admin. Saving under a lower-permission role will not persist.

The QR code attendance URL is not working. Confirm QR code clock-in is enabled in Settings → Attendance Settings, and that the URL being scanned matches the one generated at /account/qrcode. Re-download and reprint if the code was generated before the setting was enabled.
