Project Calendar
Purpose: "Project calendar" in PMSuite means seeing a project's dated work laid out in a calendar grid instead of a table. PMSuite delivers this through the Calendar view of the Tasks list, filtered down to one project. It is the date-first counterpart to the Gantt Chart (duration and dependencies) and the Task Board (status flow).
There is no separate "Calendar" tab inside an individual project. A project's own tabs are Overview, Files, Milestones, Tasks, Task Board, Gantt Chart, Invoices, Estimates, Orders, Timesheet, Expenses, Payments, Discussion, Notes, Rating, Burndown Chart, Activity and Tickets — the calendar layout lives on the Tasks module.
Who can use it
Any user who can see the Tasks module can open the Calendar view. What appears inside it is still bounded by your task and project permissions — you only see tasks you are allowed to see. Milestone visibility is controlled separately by the milestone view permission; if it is set to None, milestones are hidden from you.
Prerequisites
- A project must exist, with tasks that carry dates. Tasks with no dates have nothing to plot and will not appear.
- Your company's Default Timezone should be set correctly in Settings → App Settings, since dates throughout PMSuite display against it.
How to Access
- Sidebar → Projects → Tasks (
/account/tasks). - Switch the view selector from List to Calendar. The Tasks module offers four views: List, Board, Calendar and Whiteboard.
- Use the filter controls to select the project you want, so the calendar shows that project's work only.
Related calendars elsewhere in PMSuite:
- My Calendar (
/account/my-calendar) — your personal aggregated view. - Events (
/account/events) — the Workspace event calendar, with Month, Week, Day and List layouts.
Working with the calendar
Reading the grid
Each entry represents a task placed on its date. Open an entry to reach the task itself, where the full detail lives — the task detail tabs are Files, Sub Task, Comment, Timesheet, Notes and History.
Task fields that drive what you see:
| Field | Values |
|---|---|
| Status | Incomplete, Under Review, Complete |
| Priority | Low, Medium, High |
| Dates | Start Date and Due Date, set on the task |
Filtering
The Tasks toolbar carries Filter, Export and a My Tasks filter. Applying a project filter turns the shared Tasks calendar into a project calendar; adding My Tasks narrows it to your own workload for the period.
Planning with it
- Spot days where too much work lands at once, then reschedule by editing the task's due date.
- Line task dates up against Milestone start and end dates so milestone work finishes before the milestone does.
- Use it alongside the Gantt Chart — Gantt for sequencing and long-range shape, calendar for "what is due this week".
Effect on Other Features
- Tasks: The calendar is a view over the same task records as the task list and Task Board. Changing a task's dates anywhere changes where it sits on the calendar.
- Recurring tasks: Recurring tasks require the Cycles field to be populated for recurrence to work at all, and the next instance is generated only when the current one is marked Complete — recurrence is completion-triggered, not time-based. Future recurrences therefore only appear on the calendar once they have actually been generated.
- Gantt Chart: Same underlying data, different emphasis — Gantt for sequencing and duration, calendar for date placement.
- Burndown Chart: The Burndown Chart aggregates the same timeline into progress-versus-time.
- Google Calendar: If Google Calendar Settings are configured, PMSuite pushes records outward, one-way, into your Google Calendar. Items created in Google Calendar do not come back into PMSuite. See Google Calendar.
Limitations
- No dedicated Calendar tab inside a project. Workaround: open Projects → Tasks, switch to Calendar view and filter to the project; bookmark that filtered URL for one-click access.
- Undated tasks are invisible on the calendar. Workaround: scan the List view for blank Start/Due Date columns and fill them in before relying on the calendar for planning.
- Google Calendar sync runs one way only (PMSuite → Google). Workaround: anything scheduled first in Google must be re-entered in PMSuite as a task or event for it to be tracked here.
- Milestone visibility can be switched off by permission. Workaround: ask an admin to grant the milestone view permission if milestone context is missing from your planning view.
Troubleshooting
The calendar is empty for a project I know has work. Check that the project filter is the only filter applied (My Tasks may still be active), and confirm the tasks have Start/Due dates.
Entries sit on the wrong day. Have an admin confirm the Default Timezone in Settings → App Settings, then check the task's own Start/Due Date values.
I cannot see milestones. Your milestone view permission may be set to None in Roles & Permissions; an admin can change it to Added, Owns or All. Log out and back in afterwards — permission changes do not always apply to an already-active session.
A recurring task I expected later is not there. The next instance only appears after the current one is completed, and the Cycles field must have been populated when the recurring task was created.
Some tasks are missing for a user. Check Roles & Permissions first — task permission levels are None, Added (records they created), Owns (records assigned to them) and All, so a user on Owns only sees their own tasks on the calendar. Have them log out and back in after any change.
