Finance Settings
Finance Settings control how PMSuite generates and presents your financial documents — invoices, credit notes, estimates, estimate requests, orders, and proposals. From one page you set the invoice logo and authorised signatory, pick an invoice template, define numbering prefixes, manage units of measurement, connect QuickBooks, and enter the payment details printed on invoices.
Who can use it
Users whose role grants access to Settings — typically admins. If someone cannot see this page, check Roles & Permissions first, and have them log out and back in after any permission change.
How to Access
Sidebar → Settings → Finance Settings (/account/settings/invoice-settings).
The settings hub itself is at /account/settings, which opens on Company Settings; pick Finance Settings from the Organization group in the settings sidebar.
The page is organised into six tabs:
- Invoice Settings — general invoice configuration
- Invoice Template — choose a built-in invoice template
- Prefix Settings — numbering prefixes for all financial documents
- Units — units of measurement for line items
- Quickbooks Settings — QuickBooks connection
- Invoice Payment Details — payment information displayed on invoices
Invoice Settings tab
| Field | What it does |
|---|---|
| Invoice Logo | The logo printed on invoices. |
| Authorised Signatory | The signatory name shown on the invoice. |
| Language | Language used on generated invoices. |
| Due After (days) | How many days after the invoice date payment becomes due. |
| Send Reminder Before / After | Payment reminders scheduled relative to the due date. |
Toggleable invoice sections
Show or hide these blocks on the invoice:
- Tax Number
- HSN/SAC
- Status
- Authorised Signatory
Client information shown on the invoice
Each of these is independently toggleable:
- Name
- Phone
- Company
- Address
- Project
Terms and Conditions
A free-text field whose contents print on the invoice.
Invoice Template tab
Choose from 5 built-in invoice templates. The selected template applies to the invoices your company generates.
Prefix Settings tab
Every financial document type has its own prefix and numbering, each independently customisable. Defaults:
| Document | Default numbering |
|---|---|
| Invoice | INV#001 |
| Credit Note | CN#001 |
| Estimate | EST#001 |
| Estimate Request | ESTRQ#001 |
| Order | ODR#001 |
| Proposal | Proposal#001 |
Decide on your prefixes before you issue your first documents, so your numbering stays consistent from the start.
Units tab
Manage the units of measurement available for line items.
Quickbooks Settings tab
Connect PMSuite to QuickBooks via OAuth from this tab. A step-by-step connection guide is available in the QuickBooks article.
Sync direction is one-way: PMSuite → QuickBooks only. Anything created or edited directly inside QuickBooks does not flow back into PMSuite.
Full connection walkthrough: QuickBooks.
Invoice Payment Details tab
Enter the payment information — for example bank transfer details — that you want printed on invoices so clients know how to pay. For online card payments, configure a gateway under Payment Gateways.
Limitations
- QuickBooks sync is one-way (PMSuite → QuickBooks). Workaround: treat PMSuite as the source of truth and make all finance edits there so they sync outward.
- Only 5 built-in invoice templates. There is no custom template builder; pick the one of the five that best suits your outgoing invoices.
Troubleshooting
The invoice logo will not upload
If the upload is rejected, try a smaller image — PMSuite's logo uploads elsewhere cap image dimensions, and an oversized image can be rejected even when the file itself is small in KB/MB.
Reminders are not going out when expected
Reminders are calculated from the invoice due date, which is derived from Due After (days). Check both Due After and Send Reminder Before / After on the Invoice Settings tab.
QuickBooks data is not appearing in PMSuite
Expected behaviour — the integration only pushes from PMSuite to QuickBooks. Data entered in QuickBooks never syncs back.
The QuickBooks connection fails during OAuth
Re-check the credentials and settings entered on the Quickbooks Settings tab against your QuickBooks app configuration, then retry. See QuickBooks for the full connection walkthrough.
A field I configured is missing from the invoice
Check the toggleable invoice sections and the client-information toggles above — a hidden toggle suppresses the block even when the underlying record has data.
