Adding Products
Products in PMSuite are the reusable catalogue entries you sell. Once a product exists, it can be picked as a line item instead of retyping the same details on every document — proposals, estimates, invoices and orders all use a Product line item with Description, Quantity, Unit Price, Tax and Amount, and orders additionally support a per-line Discount.
Each product also carries a Client can purchase toggle, which decides whether clients may buy it themselves through the Shopping Cart.
Who can use it
Company Admin.
Prerequisites
- Products module enabled. Products is one of the toggleable modules in your company settings. If you do not see it, have an admin enable Products in the module settings first.
- Product Categories (optional). Products can be filed under a Product Category and a Sub Category. Create these first if you want to use them — see Product Categories & Subcategories.
- Tax rates (optional). Configure the tax rates you need before adding products so you can pick one on the product record.
How to Access
Products live under the Sales area and are reached through the Orders module in the sidebar. Open Orders (/account/orders) and use the Products entry to reach the product list, then use the add/create action to open the product form.

Fields on the product record
| Field | Description |
|---|---|
| Name | The product name shown wherever the product is selected as a line item. |
| Price | The default unit price, pre-filled onto line items when the product is selected. |
| Product Category | Primary grouping for the catalogue. |
| Sub Category | Nested grouping beneath the category. |
| Tax | Tax rate carried onto documents that use this product. |
| HSN/SAC | Tax classification code, for jurisdictions that require it. Leave blank if yours does not. |
| Unit Type | Unit of measure for the product. |
| Client can purchase | Toggle controlling whether clients can buy this product themselves. |
| Downloadable | Toggle marking the product as a digital, downloadable item. |
| SKU | Your own stock-keeping identifier. |
| Description | Longer explanation of what the product covers. |
| File upload | Attach a file to the product record — see Product Files. |
Steps
- Open the product list from the Orders module and start a new product.
- Enter the Name and Price. These are the values that pre-fill line items later.
- Assign a Product Category and, if you use them, a Sub Category.
- Pick the Tax rate that should apply, and enter an HSN/SAC code if your tax regime requires one.
- Set the Unit Type so quantities read correctly on documents.
- Set the Client can purchase toggle. Leave it off for anything that should only ever be added by your team.
- Turn on Downloadable for digital items, and use the file upload to attach the deliverable.
- Add a SKU and a Description if useful, then save.
Effect on other features
- Proposals and estimates — the product can be chosen as a line item (Product, Description, Quantity, Unit Price, Tax, Amount).
- Invoices — the product is selectable as an invoice line item (Product, Description, Quantity, Unit Price, Tax, Amount).
- Orders — order line items are built from products, with Discount, Tax and Total per line.
- Shopping Cart — only products with Client can purchase enabled are available for clients to buy themselves.
- Notifications — Product Purchase is one of the event types you can enable per channel in Notification Settings, including the Slack tab.
Limitations
- Price is a single default, not a tiered price list. There is no volume or per-client pricing on the product record. Workaround: keep the base price on the product and adjust the Unit Price on the individual proposal, estimate, invoice or order line, or use the per-line Discount on orders.
- A product carries one tax rate. Workaround: if the same item needs different treatment in different regions, create a separate product per tax rate, distinguished by Name/SKU, or change the tax on the document line.
- Clients cannot buy every product by default. Anything with Client can purchase off is invisible in the Shopping Cart. Workaround: leave it off deliberately for quote-only work and raise those orders or invoices for the client yourself.
Troubleshooting
A client says they cannot buy a product. Check the Client can purchase toggle on that product's record — turning it off is exactly what hides a product from the client's purchase flow.
A downloadable product has nothing to download. Confirm the Downloadable toggle is on and that a file was actually uploaded to the product; the toggle alone does not attach a file. See Product Files.
Unit Type is blank on a product. Unit Type is a field on the product record, so open the product and set it there; quantities then read correctly on any document that uses the product.
Products missing from the sidebar entirely. The Products module is toggleable; ask an admin to enable it in module settings.
