Leave Report & Quota
The Leave Report is the HR reporting view for employee leave. It shows how much leave each employee has been allotted under your configured leave types and how much of that allowance remains, so HR can check balances before approving requests and review leave usage across the company.
Who can use it
Company Admin and HR/Admin roles with access to the HR Reports area. Visibility of employee records follows your Roles & Permissions configuration, so a user only sees the employees their role allows.
Prerequisites
- The Leaves module must be enabled in Settings → Module Settings.
- Leave types must exist in Settings → Leaves Settings. PMSuite ships with four defaults: Casual (10 days/year, limit 2/month, paid), Sick (8 days/year, limit 3/month, paid), PTO/Earned (15 days/year, limit 5/month, paid) and Unpaid (0 days allotted, limit 30/month). All values are configurable per company.
- Employees must exist under Employees (
/account/employees). - There must be leave activity under Leaves (
/account/leaves) for usage figures to be non-zero.
How to Access
Go to Leave Report at /account/leave-report/leave-quota. This is the leave quota view, reached from the HR reports area of the sidebar.
Using the report
Step 1 — Open the leave quota view
Navigate to /account/leave-report/leave-quota. The page lists employees with their leave allotment and remaining balance per leave type.
Step 2 — Narrow to the people you care about
Use the filters shown above the table (such as employee and department) to focus on a single team or person rather than scrolling the full employee list.
Step 3 — Read a row before approving leave
Compare an employee's remaining balance against the request you are about to approve in Leaves (/account/leaves). A request that exceeds the remaining balance under a paid leave type is the usual reason to reclassify it as Unpaid.
Step 4 — Fix discrepancies at the source
If a balance looks wrong, correct it where it is defined: the allowance in Settings → Leaves Settings (or the employee's leave quota), and the consumption in the leave records themselves. The report is read-only — it reflects those records, it does not store its own numbers.
Effect on other features
- Leaves Settings: the leave types, yearly allotments and monthly limits configured there define the columns and allowance figures in this report.
- Leaves (
/account/leaves): approved leave consumes quota and is what moves the remaining balance shown here. - Employee profile: each employee record has its own Leaves and Leaves Quota tabs showing the same data for one person.
- Attendance (
/account/attendances): attendance carries an On Leave status, so approved leave and attendance records should agree for the same day. - Google Calendar Settings: if Google Calendar sync is active and verified, leaves are pushed one-way from PMSuite into the user's Google Calendar. Items created in Google Calendar do not appear in PMSuite.
- Notification Settings: Leave Application is one of the configurable notification events, including on the Slack tab if you have connected a Slack incoming webhook.
Limitations
- The report shows quota, not a leave-type trend chart. Workaround: for period-by-period analysis, filter the Leaves list (
/account/leaves) by date range and leave type, or read the Pending Leaves figure on the dashboard for the current backlog. - Balances are only as accurate as the leave types behind them. A leave type with a 0-day allotment (Unpaid, by default) will always show no remaining balance. Workaround: set the intended yearly allotment in Settings → Leaves Settings.
- Leave types can be archived but not hard-deleted. Workaround: archive an obsolete type so it stops being selectable, and treat any historical rows under it as read-only history.
- The report is company-scoped and permission-scoped. Workaround: if a colleague cannot see an employee here, adjust their role in Settings → Roles & Permissions rather than sharing figures informally.
Troubleshooting
- An employee is missing from the report. Confirm they exist and are active under
/account/employees, and that your own role permits seeing their department. - Remaining balance does not match what the employee expects. Check the yearly allotment and monthly limit for that leave type in Settings → Leaves Settings, then check the employee's leave records — a monthly limit can block further leave even when the yearly balance is not exhausted.
- Leave Report is not in the sidebar. Enable the Leaves module (and Reports) in Settings → Module Settings, then reload.
- A leave shows in PMSuite but not in Google Calendar. Verify Google Calendar Settings shows the connection as active and verified, that the leave toggle is on, and that the affected user has Google Calendar enabled on their own profile.
