Designations
Designations are the job titles used across your PMSuite workspace — for example "Software Engineer" or "HR Manager". A designation is stored on each employee's profile and is reused as a column, a filter, and a reference point in other HR screens, so setting designations up early keeps employee records consistent.
Designations sit alongside Departments, Appreciation, Awards, Promotions and Performance as the supporting setup sections of the HR module.
Who can use it
Administrators and HR users whose role grants access to the HR module. Employee records and HR screens are permission-scoped, so a user who cannot manage HR data will not see the Designation screen.
Prerequisites
- Access to the HR module.
- No other configuration is required first. Designations can be created before any employee exists.
How to Access
Sidebar → HR → Designation (/account/designations).

Create and manage designations
Step 1: Open the Designation list
The Designation screen lists the job titles that already exist in your workspace.
Step 2: Add a designation
- Choose the option to add a designation.
- Enter the designation name — the job title exactly as it should appear on employee profiles and in filters.
- Save.
Step 3: Assign the designation to employees
A designation becomes meaningful once it is used. Set it on an employee record from the employee's Profile tab, where Designation sits with Employee ID, Full Name, Department, Gender, Work Anniversary, Date of Birth, Email, Mobile, Slack Member ID, Hourly Rate, Address, Skills, Language and Probation End Date.
Step 4: Edit or remove a designation
Open the designation from the list to rename it, or remove one that is no longer in use. Because the designation is referenced from employee profiles, move employees to another designation before retiring an old title so no record is left without a job title.
Effect on other features
- Employee list — Designation is one of the columns in the employee directory, next to Employee ID, Name, Email, User Role, Reporting To and Status (
/account/employees). - Employee profile — Designation appears in the profile information block of each employee record.
- Attendance — The attendance view can be filtered by Designation together with Employee, Department, Month and Year (
/account/attendances). - Promotions — Career changes are recorded on the employee's Increment & Promotions tab, so consistent designation names make that history readable.
Limitations
- Designations are a flat list of titles; they do not by themselves grant permissions. What a user can see or do is controlled by their user role, not by their job title. Workaround: set the designation for reporting and profile display, and set the user's role separately on the employee record.
- A designation is not a department. An employee has both, and grouping or filtering by team is done through Departments. Workaround: create the department in HR → Department (
/account/departments) and assign both values on the employee profile. - Renaming or removing a designation affects every employee currently using it. Workaround: reassign affected employees first, then edit or remove the title.
Troubleshooting
- A designation is missing from a dropdown or filter — Confirm it exists on
/account/designations; filters only offer designations that have been created in this workspace. - An employee shows no job title — Open the employee's Profile tab and set the Designation field; the value is stored per employee, not inherited from their department.
- Duplicate-looking titles ("Sr. Developer" and "Senior Developer") — These are two separate designations. Standardise on one name, reassign the affected employees, then remove the unused title.
- The Designation screen is not visible — This is a permissions matter. Ask an administrator to grant your role access to the HR module.
