Tax Settings
Tax Settings is where you define the tax rates your company uses across PMSuite. A tax is a simple pair — a Name and a Rate (%) — and once saved it becomes selectable in the Tax field on the line items of your financial documents.
Who Can Use It
Users whose role grants access to the Settings area. Access to individual settings screens is controlled by Roles & Permissions (/account/settings/role-permissions). If Tax Settings is not visible in your Settings navigation, ask a workspace admin to check your role.
How to Access
Navigation: Sidebar → Settings → Tax Settings
URL: /account/settings/taxes
The Settings hub is at /account/settings, which opens Company Settings; Tax Settings sits in the same Settings navigation list as Currency Settings, Payment Credentials and Finance Settings.
Adding a Tax
- Open Settings → Tax Settings.
- Add a new tax.
- Fill in the two fields:
| Field | Description |
|---|---|
| Name | A label for the tax, e.g. "VAT", "GST", "Sales Tax". Including the rate in the name (e.g. "VAT 5%") makes the right entry easier to pick from dropdowns later. |
| Rate (%) | The percentage rate as a number, e.g. 5 for 5%. |
- Save. The tax is now available in the Tax dropdowns across the finance and sales modules.
Where Your Taxes Are Used
The taxes defined here populate the Tax field on line items of:
- Invoices — line items carry Product, Description, Quantity, Unit Price, Tax and Amount.
- Estimates and Proposals — same line-item structure; Tax is chosen per line.
- Orders — line items carry Product, Discount, Tax and Total.
- Products — a product record has its own Tax field (alongside Name, Price, Product Category, Sub Category, HSN/SAC and Unit Type).
Invoices, recurring invoices, estimates and proposals each have a Calculate Tax setting among their document fields that determines whether tax is calculated before or after the discount is applied. This is set per document, not globally.
Limitations
- Name and rate only. There is no tax type, jurisdiction, compound tax or effective-date configuration on this screen. If you need to distinguish tax concepts, create separate named taxes and pick the right one per line item.
- No global default. Tax is selected on each line item, so there is no workspace-wide "apply this tax to everything" switch. Setting the correct Tax on each product record in Products keeps the intended rate attached to the product you pick.
- Rate changes. When a statutory rate changes, add a new tax entry with the new percentage (for example "VAT 7%") rather than editing the existing one, so previously issued documents stay unambiguous.
Troubleshooting
A tax does not appear on my invoice. Confirm it was saved in Settings → Tax Settings, then check the Tax field on the relevant line item — tax is applied per line, not to the document as a whole.
The tax total differs from what I expected on an estimate or proposal. Check the document's Calculate Tax setting. It controls whether tax is computed before or after the discount, and it is set on each document individually.
Tax Settings is missing from my Settings navigation.
Your role does not include access to that screen. A workspace admin can adjust this in Roles & Permissions (/account/settings/role-permissions).
A product is set up with the wrong tax. Open the product in Sales → Products and update its Tax field, then check the Tax selected on the line item of any document you are working on.
