Time Log Report

The Time Log Report is one of the reports available in the Projects module, alongside the Task Report and the Project Roadmap. It brings the individual time entries recorded across your workspace together in one place, so you can review how many hours were logged, who logged them, and which projects and tasks the hours belong to.

Each time entry in PMSuite records a Project, Task, Employee, Start Date, Start Time, End Date, End Time and a Memo, and the total hours are calculated automatically from the start/end datetime pair. The Time Log Report is where those entries are read back as a set rather than one at a time.

Who can use it

Access follows your workspace's Roles & Permissions configuration. Reports are visible to roles that have been granted the relevant permission — permission levels are None, Added, Owns and All, so what one person sees in this report may be narrower than what an administrator sees.

If you change a role's permissions, the affected user needs to log out and back in before the new access takes effect.

Prerequisites

  • The Time Logs module must be enabled for your workspace in Settings → Module Settings. Modules can be toggled on and off per company, and a disabled module's data will not appear in reports.
  • Time entries need to exist. Team members can record them with the timer, or enter them manually if Allow manual time logs is enabled on the project.
  • Projects and tasks should exist so entries have context, since each entry records the project and task it belongs to.
  • If your workspace has Timelog requires approval switched on in Time Log Settings, be aware that entries move through an approval step before they are treated as approved time.

How to Access

Go to /account/time-log-report in your workspace, or open it from the Projects module's reports section.

Working with the report

Review the entries

The report lists the recorded time entries with their project, task, employee, start and end datetimes, and calculated total hours. Use it to answer questions such as how many hours a project absorbed over a period, or which employees have logged time in the window you care about.

Cross-check against the source records

If a figure looks wrong, open Timesheet (/account/timelogs) or the Timesheet tab on the individual task or project. A project's Overview panel also shows Hours logged alongside budget, earnings, expenses and profit, which is a useful second opinion on a project total.

Use the weekly grid for approvals

The Weekly Timesheet presents hours in a Monday-to-Sunday grid, one row per task. Employees fill in hours, click Save, then Submit For Approval, and an admin reviews and approves or rejects the submission. Use the weekly view when your goal is approving time, and this report when your goal is reading it back.

Effect on other features

  • Invoicing: Logged hours feed the Create TimeLog Invoice path in Finance, which auto-populates invoice line items from the hours logged against a project.
  • Payroll: Payroll generation has an Add Timelogs to Salary inclusion toggle, so time entries can be carried into a payroll run alongside expense claims and attendance data.
  • Project reporting: A project's Overview panel shows Hours logged alongside its budget, earnings, expenses and profit, so the same entries that appear here feed the project's own figures.
  • Scheduled reporting: Time Log Settings includes Send Daily Timelog Report, with a role selector controlling who receives it — a way to push a daily summary out without anyone opening this page.

Limitations

  • The report reads, it does not correct. Fixing a wrong entry has to happen on the entry itself. Workaround: open /account/timelogs, or the Timesheet tab on the task or project, and edit or delete the entry there; the report reflects the change on reload.
  • Only logged time appears. Hours nobody recorded are invisible here, so gaps in the report are not proof that no work happened. Workaround: enable Send time tracker reminders and Send Daily Timelog Report in Time Log Settings so missing entries surface daily instead of at month end.
  • What you see depends on your role. With Added or Owns permission levels you will see a subset of the workspace's time, which can make totals look lower than a colleague's. Workaround: ask an administrator to review your role in Settings → Roles & Permissions, then log out and back in.
  • Disabling the Time Logs module hides the data. Workaround: re-enable Time Logs in Settings → Module Settings; the entries themselves are not removed by toggling the module.

Troubleshooting

The report is empty even though people have been working. Confirm the Time Logs module is enabled, then check /account/timelogs directly. If entries exist there but not in your report view, the difference is almost always the permission level attached to your role.

Hours are lower than expected on a project. Check whether the time was logged against a different project or task than the one you are reading. Also confirm whether Timelog requires approval is enabled in Time Log Settings — if it is, some entries may still be waiting on that approval step. Open /account/timelogs to see the underlying entries and where they were recorded.

Someone cannot enter time manually. Manual entry depends on the Allow manual time logs toggle on that project. If it is off, only timer-based entry is available for that project. Turn it on in the project's settings.

A timer kept running past the end of a shift. Time Log Settings has a Stop timer after shift end time option. Enable it to prevent runaway entries, then correct the affected entry in /account/timelogs.

Time logs are not appearing on an invoice. Use the Create TimeLog Invoice path rather than a manual invoice — a manually created invoice does not pull in logged hours. Then confirm the hours were logged against the same project you are invoicing.
