Lead Contacts Overview

Lead Contacts is the directory of every prospect in your sales pipeline. From this page you add leads one at a time, import them in bulk from a CSV, export the list, and open any lead to work on it. Leads are the starting point of the PMSuite sales flow: Lead → Deal → (Deal stage set to "Win") → Client.

Who can use it

Users whose role grants access to the Leads module. Access is controlled in Settings → Roles & Permissions, where each permission can be set to None, Added (only records the user personally added), Owns (records assigned to them), or All.

If someone reports that leads are missing from their list, check their permission level first — an "Added" or "Owns" level shows only a subset of the list, not the whole directory.

Prerequisites

  • The Leads module must be enabled in Settings → Module Settings.
  • Lead sources should be set up before you start adding leads, so classification stays consistent. Defaults are Google, Facebook, Email, Referral, Direct, LinkedIn, Upwork and YouTube; add your own under Settings → Lead Settings → Lead Source.

How to Access

Navigate to Sales → Lead Contact (/account/lead-contact).

Lead Contacts

What you see

Each lead record carries these fields:

FieldDescription
SalutationTitle used for the contact (Mr, Ms, etc.).
NameThe contact's name. Open the record to see the full lead detail.
EmailThe contact's email address.
Lead SourceThe channel the lead came from, drawn from your Lead Settings list.
Lead OwnerThe team member responsible for the lead.
Added ByThe user who created the record.

Actions available

Three actions are available from the Lead Contact page:

  • Add — create a lead manually. See Adding Lead Contacts.
  • Import — bulk-load leads from a CSV file. See Importing Leads.
  • Export — download the lead list for offline analysis or sharing.

Auto-creating a Deal with a lead

When you add a lead you can optionally auto-create a linked Deal at the same time, using the toggle on the creation screen. This saves creating the deal separately when a prospect arrives already qualified. See Creating Deals.

Filtering the list

The Lead Contact list can be filtered by:

  • Type — narrow the list by the Type filter on the page.
  • Date range — restrict the list to leads added within a chosen period.

Effect on other features

  • Deals: every deal is linked to a lead contact, so the quality of this list drives your pipeline. See Deal Pipeline.
  • Lead → Client conversion: setting a deal's stage to "Win" auto-converts the associated lead into a Client record. This is the only trigger for lead-to-client conversion. Dragging a lead's deal into the Win stage on the pipeline board performs the same conversion.
  • Projects are never auto-created. Winning a deal does not create a project. Creating a project is always a separate, manual step — this is the single most common misunderstanding for new admins.
  • Proposals: a proposal is raised against a Lead Contact (with an optional linked Deal), so leads feed the proposal flow directly. See Creating Proposals.
  • Follow-ups: lead follow-ups are among the record types pushed out to Google Calendar when Google Calendar Settings are configured. That sync is one-way, PMSuite → Google Calendar — items you create in Google Calendar do not appear in PMSuite.
  • Notifications: Lead and Follow Up are both event types you can switch on for Slack notifications under Settings → Notification Settings → Slack.
  • Reports: lead data feeds the Deal/Lead Report (/account/lead-report). See Deal Reports.
  • Webhooks: leads can be created from outside PMSuite by POSTing to the incoming /incoming/lead API endpoint, and a /incoming/triggers/leads trigger endpoint is available for outbound automations. See Webhooks.
  • GDPR: removal requests for leads are handled under Settings → GDPR Settings. See GDPR Consent for Leads.

Limitations

  • Only "Win" converts a lead. There is no manual "convert to client" action on the lead itself. Workaround: create the linked deal and move it to the Win stage — that performs the conversion and carries the lead's details across.
  • No project is created when a deal is won. Workaround: create the project manually after the client record appears, then link it to the new client.
  • Filtering on the list is limited to Type and Date range. Workaround: use Export and filter the CSV in a spreadsheet for anything more granular, or run the Deal/Lead Report for source and owner breakdowns.
  • Google Calendar sync is one-way. Lead follow-ups pushed from PMSuite appear in Google Calendar, but calendar entries created in Google do not flow back. Workaround: create follow-ups in PMSuite so they exist in both places.

Troubleshooting

A user cannot see leads that clearly exist. Check Settings → Roles & Permissions for their role. Added and Owns levels intentionally hide other people's records; All shows the full list. Permissions are set independently per module and per action (view / create / edit / delete), so check the specific action as well as the module.

Leads are missing after an import. Confirm the file is a CSV and that every column you need is mapped during import. Re-import only the missing rows to avoid duplicates. See Importing Leads.

A lead's source is not in the dropdown. Add it under Settings → Lead Settings → Lead Source, then set it on the lead.

A deal was moved to Win but no client appeared. Reload the Clients list (/account/clients) and confirm the deal's stage is actually Win rather than a similarly named custom stage. Remember that no project is created by this conversion.

A lead form submission never arrived. If your public lead form uses reCAPTCHA, that setting lives under Settings → Recruit Settings → General — not Sign Up Settings — and the domain serving the form must also be whitelisted in the Google reCAPTCHA admin console.
