Creating Events
Events in PMSuite let you schedule meetings, training sessions, team activities, and any time-bound item for your organisation. Each event can include a location, a list of employee and client attendees, an optional reminder, and supporting files — and appears on the Events calendar the moment it is saved.
Who Can Use It
Any user whose role includes the Create permission for the Events module under Workspace. Admins hold this by default. If the Add Event button is not visible, a Company Admin needs to grant the Create permission under Settings → Roles & Permissions → Workspace → Events.
Prerequisites
- The Events module must be enabled for your user type in Settings → Module Settings.
- At least one employee must exist in the system if you intend to add employee attendees.
- For automatic reminders, the Event notification type must be enabled in Settings → Notification Settings.
How to Access
Sidebar → Workspace → Events (/account/events)
The Events page shows two creation buttons at the top:
| Button | Purpose |
|---|---|
| Add Event | Creates a single, non-repeating occurrence. |
| Add Recurring Event | Opens the recurring event form for a repeating series. |
This article covers Add Event. For repeating series, see Recurring Events.
Step-by-Step: Creating an Event
1. Open the Event Form
Click Add Event on the Events page. A form opens with all the fields needed to define the event.
2. Fill In Event Details
| Field | Notes | Required |
|---|---|---|
| Event Name | The title shown on the calendar and in attendee notifications. Keep it concise and descriptive. | Yes |
| Label Color | A category label with an associated colour. Use labels consistently to visually group events on the calendar (e.g., "Meeting" in blue, "Training" in green). | Yes |
| Where | Free-form text for the venue — a physical address, a room name, or a virtual meeting link. | Yes |
| Starts On | Date and time the event begins. | Yes |
| Ends On | Date and time the event ends. Must be the same as or after the start time. | Yes |
| Department | Filters the employee picker by department to make attendee selection easier. | No |
| Select Employee | One or more employees to invite. Searchable by name. | Yes |
| Select Client | Clients to include as attendees. | No |
| Host | The person leading the event. Defaults to the creator; can be changed to any employee. | No |
| Status | Current status of the event. | No |
| Description | Agenda, instructions, or background information. Supports rich-text formatting. | No |
| Send Reminder | When enabled, reveals a Remind Before field — set how far in advance attendees receive a reminder notification. | No |
| Event Link | A URL for a virtual meeting or event page (for example, a video call link). | No |
| Add File | Attach supporting documents such as agendas or presentation slides. | No |
3. Save the Event
Click Save to create the event. If a required field is empty, or the end time is before the start time, PMSuite displays an error — correct the issue and save again.
Effect on Other Features
Events Calendar
The event appears immediately in the Events calendar (/account/events) across all four calendar views:
| View | Best for |
|---|---|
| Month | Seeing the full month at a glance. |
| Week | Reviewing the upcoming week in detail. |
| Day | Checking a single day's schedule. |
| List | Scrolling through events in chronological order. |
The label colour makes the event visually distinct from tasks, leaves, and holidays. Use the Employee, Client, and Status filters to narrow which events appear in any view.
Notifications
When Send Reminder is enabled, attendees receive a notification at the configured lead time. The notification types that fire for events can be toggled in:
- Settings → Notification Settings → Email tab — email alerts per event type.
- Settings → Notification Settings → Slack tab — if a Slack incoming webhook is connected, PMSuite sends a one-way notification to your Slack workspace. The events checkbox in the Slack tab controls whether event notifications are included in that feed.
The Slack integration is configured in Settings → Notification Settings → Slack tab (Webhook URL + per-event-type checkboxes). This is separate from the "Slack" checkbox inside Settings → Zoom Settings, which only controls Zoom-meeting notifications.
Google Calendar
If Google Calendar integration is active and verified for the relevant user account (Settings → Google Calendar Settings), events created in PMSuite are pushed to the connected Google Calendar automatically.
Sync direction is one-way: PMSuite → Google Calendar. Events created or edited directly in Google Calendar do not appear in PMSuite.
Google Calendar sync requires the company's integration status to be active and verified, a stored OAuth token for the user, and the Events type toggle enabled in Google Calendar Settings.
Limitations
| Limitation | Workaround |
|---|---|
| No attendee RSVP / accept-decline response flow. | Request confirmation via the Messages module or the event's Description field. |
| Google Calendar sync is one-way (PMSuite → Google). | Events added directly in Google Calendar must be entered manually in PMSuite if they need to appear in the system. |
| List filters are limited to Employee, Client, and Status. | Use Label Color consistently across your organisation to create visual groupings on the calendar. |
| Editing a saved event does not automatically re-send the reminder to attendees. | Notify attendees of changes via Messages or by re-adding them as attendees if a fresh notification is needed. |
Troubleshooting
The Add Event button is not visible. Your role may not include Create permission for the Events module, or the module may be disabled for your user type. Ask a Company Admin to check Settings → Roles & Permissions → Workspace → Events → Create, and Settings → Module Settings → Events.
Attendees did not receive a reminder. Confirm that Send Reminder was toggled on before saving, and that the Event notification type is enabled in Settings → Notification Settings. If a permission change was made recently, the attendee may need to log out and back in for it to take effect.
The event is not appearing in Google Calendar. Confirm that the Google Calendar integration is active and verified in Settings → Google Calendar Settings, that an OAuth token is stored for the affected user, and that the Events toggle is enabled in that settings page.
A client added as an attendee cannot see the event. Check that the Events module is enabled for the Client user type in Settings → Module Settings.
