HR Module Overview

The HR module is where you manage your people: employee records, the org structure (departments and designations), recognition and promotions, attendance and shifts, leaves, payroll, recruitment, and performance. Each area has its own section in this help center — this page explains what belongs where and how to get to it.

Who can use it

  • Admins have full access to every HR section.
  • Employees see the HR areas their role allows — typically their own profile, attendance, leaves, and (where permitted) their own salary slips.
  • Access is controlled in Settings → Roles & Permissions. Permission scoping supports Owned and Added-and-Owned records for employee data, and newly created employees receive the correct HR access by default.

If someone reports that an HR page is missing for them, check Roles & Permissions first, then have them log out and back in — permission changes do not always apply to an already-active session.

Prerequisites

  • The relevant modules must be enabled in Settings → Module Settings, which toggles modules independently per user type (Admin, Employee, Client). HR-related toggles include Employees, Attendance, Leaves, Holidays, Payroll, Performance, and Recruit.
  • Departments and Designations should exist before you add employees, so records can be classified correctly from the start.
  • Attendance, Leaves, Payroll, Overtime, Performance, and Recruit each have their own settings page under Settings.

What each section does

Employees

The employee list shows Employee ID, Name, Designation, Email, User Role, Reporting To, and Status. Filter dropdowns always include an All option. Available actions are Add Employee, Invite Employee, Import (CSV), and Export. Recently added employees carry a New Hire badge.

Add Employee creates the record directly; Invite Employee sends an email invitation so the person sets up their own login. Activation links have a long validity window, and an expired link offers a resend with a fresh expiry clock.

Each employee record has tabs for Profile, Projects, Tasks, Attendance, Leaves, Leaves Quota, Timesheet, Documents, Emergency Contacts, Increment & Promotions, Ticket, Appreciation, and More. Profile fields include Employee ID, Full Name, Designation, Department, Gender, Work Anniversary, Date of Birth, Email, Mobile, Slack Member ID, Hourly Rate, Address, Skills, Language, and Probation End Date. A stats panel shows Open Tasks, Projects, Hours Logged and Tickets; the side panel shows Appreciation, Reporting Team, Late Attendance, Leaves Taken and Tasks.

Departments and designations

Departments and Designations define your org structure and are used as filters across attendance, payroll and recruitment. A department's detail page lists its direct members.

Appreciation, awards and promotions

Appreciation records recognition given to employees and appears on the recipient's profile. Employees cannot give appreciation to themselves. Awards and Promotions are the other recognition sections; promotions are also visible per person on the Increment & Promotions tab of the employee record, with the Add-Promotion action gated by permissions.

Attendance and shifts

Attendance is a monthly grid per employee with status values Holiday, Day Off, Present, Half Day, Late, Absent and On Leave, filterable by Employee, Department, Designation, Month and Year. You can mark attendance manually, import, or export.

The default General Shift is 9:00 AM–6:00 PM, Monday–Friday, with a late mark applied 20 minutes after shift start and a default maximum of 2 check-ins per day. Custom shifts can be added. Shift Rotation lets you add and automate rotations and trigger them with Run Rotation, optionally notifying affected employees. Attendance reminders are controlled by the Attendance Reminder Status toggle in Attendance Settings.

Leaves

Default leave types are Casual (10 days/year, limit 2/month, paid), Sick (8 days/year, limit 3/month, paid), PTO/Earned (15 days/year, limit 5/month, paid) and Unpaid (0 days allotted, limit 30/month). All of these are configurable per company in Settings → Leaves Settings, where leave types can also be added or archived.

Payroll

Payroll runs are filtered by Department and Employee, with inclusion toggles for Include Expense Claims, Add Timelogs to Salary, and Use Attendance. Salary cycle can be Monthly or Bi-Weekly, and it is set per employee, so different people can be on different cycles. The payroll list shows Name, Net Salary, CTC, Duration, Paid On and Status, with generated salary slips in their own section.

On the Employee Salary record you can set the salary group, edit the annual salary, enter employee bank details, and use the Allow Payroll Generate toggle to exclude a specific individual from a run. Salary components (Earnings or Deductions, Fixed or Percentage) and salary groups are defined in Settings → Payroll Settings. Overtime pay codes default to Regular 1.0x, Holiday 2.0x and Day Off 1.75x, with custom pay codes addable in Settings → Overtime Settings.

Recruitment

Job postings carry Title, Category, Sub Category, Department, Skills, Location, Interview Rounds, Start/End Date, Total Openings, Status (Open or Closed), Recruiter, Job Type, Work Experience, Currency, "Show Pay By" (range or fixed), Remote Job toggle, Disclose Salary toggle, and Job Description. Custom question text uses a textarea so long labels wrap correctly.

The default pipeline runs applied → screening → phone_screen → interview_round_1 → interview_round_2 → assessment → offer → hired / rejected / withdrawn / on_hold. Applications track applicants per posting, and the candidate confirmation email includes the position applied for. Offer letters are tracked with status (Accept/Pending), expiry date and joining date; dropdown answers display the selected option label and file inputs show the selected filename. The Candidate Database keeps reusable candidate records across postings, and the public Career Page is switched on with the Enable Career Site toggle in Settings → Recruit Settings.

Performance

Performance covers Objectives, OKR Score and 1:1 Meetings. Settings → Performance Settings defines Goal Types (Individual, Department, Company), each with separate View and Manage permission controls, plus tabs for Key Results Metrics, Notification Settings and 1:1 Meeting Settings.

Effect on other features

  • Employee records feed project and task assignment, timesheets, tickets and expenses — the same person record is used throughout PMSuite.
  • Attendance and timelog data can flow into payroll through the Use Attendance and Add Timelogs to Salary toggles.
  • Departments and designations act as filters in attendance, payroll and recruitment.
  • Leaves and holidays created in PMSuite can be pushed to Google Calendar when Google Calendar Settings are configured and verified. This sync is one-way: PMSuite → Google Calendar. Items created in Google Calendar do not appear in PMSuite.
  • HR events can be sent to Slack. Slack is connected as an incoming webhook in Settings → Notification Settings → Slack, where per-event checkboxes include leaves, appreciations, birthdays, shift assignment, daily schedule and attendance reminders. This is one-way, PMSuite → Slack.
  • The admin dashboard surfaces HR figures such as Active Employees, Pending Leaves and an attendance present/absent/late breakdown.

Limitations

  • Deleted attendance records cannot be recovered. They are permanently removed with no trash or restore. Workaround: export attendance before any bulk cleanup, and correct records by editing rather than deleting.
  • The Starter plan caps you at 10 employees; Professional is unlimited. Workaround: if you are approaching the cap, upgrade to Professional from Settings → Billing.
  • MAC-address-based clock-in restriction is not supported — this is a browser constraint, not a setting. Workaround: use location radius, or IP restriction if your office has a static IP.
  • IP-based clock-in restriction is unreliable on a dynamic office IP. Workaround: use GPS/location radius instead.
  • Google Calendar does not sync back into PMSuite. Workaround: create leaves, holidays and events in PMSuite so they propagate outward.
  • Leave types cannot be hard-deleted. Workaround: archive the type — existing records stay intact and it stops being offered for new requests.

Troubleshooting

  • An employee says their second clock-in is missing. When more than one check-in per day is allowed, extra check-ins are stored as additional fields on that same day's attendance record, not as a separate row. Open the full record for that day rather than looking for a second entry in the list.
  • An employee cannot see an HR module after being granted permission. Have them log out and back in; permission changes do not always apply to an active session. Also confirm the module is enabled for their user type in Module Settings.
  • An invitation link has expired. Use the resend option on the expired link — it issues a fresh activation link with a new expiry clock.
  • Career-page reCAPTCHA is not validating. The toggle is in Settings → Recruit Settings → General tab (not Sign Up Settings), and the domain serving the form must also be whitelisted in the Google reCAPTCHA admin console. If either is missing, validation fails silently.
  • A user only needs to see their own payslip. Grant the Own salary-slip permission — the Payroll module then shows only that user's salary slips.
  • Someone should be left out of a payroll run. Turn off Allow Payroll Generate on their Employee Salary record.
