Employee Profile Overview

The Employee Profile is the per-employee record in the HR module. It brings an individual's profile information, work assignments, attendance and leave history, documents and recognition together on one page, organised into tabs.

Who can use it

  • Company Admin — full access to every employee record.
  • HR staff with employee permissions — access follows PMSuite's permission scoping: users with Added or Owns scope only see the employee records they added or own, while full-scope (All) users see all of them.
  • Employees — their own record, at /account/employees/{id}.

Prerequisites

How to Access

  1. Go to HR → Employees (/account/employees).
  2. Use the list filters if needed — the directory lists Employee ID, Name, Designation, Email, User Role, Reporting To and Status.
  3. Click the employee to open their record at /account/employees/{id}.

Recently added employees are flagged with a New Hire badge in the list.

Profile tabs

The record is organised into these tabs: Profile, Projects, Tasks, Attendance, Leaves, Leaves Quota, Timesheet, Documents, Emergency Contacts, Increment & Promotions, Ticket, Appreciation, and More.

Profile

Holds the employee's core information fields:

FieldNotes
Employee IDIdentifier used across HR lists and reports.
Full NameDisplay name across the workspace.
DesignationManaged under Designations.
DepartmentManaged under Departments.
Gender—
Work Anniversary—
Date of Birth—
EmailLogin and notification address.
Mobile—
Slack Member IDA reference field on the profile only. Slack itself is connected in Settings → Notification Settings → Slack; see Slack.
Hourly RateUsed where hourly rates apply to logged time.
Address—
Skills—
Language—
Probation End Date—

A stats panel on the record shows Open Tasks, Projects, Hours Logged and Tickets. A side panel shows Appreciation, Reporting Team, Late Attendance, Leaves Taken and Tasks.

Projects

The Projects the employee is attached to.

Tasks

The Tasks assigned to the employee.

Attendance

The employee's Attendance records (/account/attendances). Attendance is kept as a monthly grid with the status values Holiday, Day Off, Present, Half Day, Late, Absent and On Leave.

⚠️ Deleting an attendance record is permanent. Attendance is hard-deleted — there is no trash, soft-delete or recovery path. Export first, and prefer correcting a record with Mark Attendance over deleting it.

Leaves

The employee's leave requests and their status.

Leaves Quota

Allotted versus used leave per leave type. The defaults are:

Leave typeAllottedMonthly limitPaid
Casual10 days/year2Paid
Sick8 days/year3Paid
PTO/Earned15 days/year5Paid
Unpaid0 days30—

All limits are configurable per company in Settings → Leaves Settings.

Timesheet

Time logged by the employee. Where a project has Allow manual time logs enabled, entries can be typed in directly (Start Date, Start Time, End Date, End Time and a Memo) instead of using the live timer.

Documents

Employee document storage — see Employee Documents.

Emergency Contacts

See Emergency Contacts.

Increment & Promotions

Salary increment and promotion history — see Promotions.

Ticket

Tickets linked to the employee. A ticket's requester is either a Client or an Employee.

Appreciation

Appreciations received by the employee.

More

Holds the remaining per-employee sections of the record.

Effect on other features

  • Department and Designation determine how the employee is grouped and filtered in the Attendance Report and Leave Report, and in payroll generation filters.
  • Salary is not set on this record: it lives in HR → Employee Salary (/account/employee-salary), where salary cycle (Monthly/Bi-Weekly), Salary Group and the Allow Payroll Generate toggle are configured per employee. That is what feeds Payroll.
  • Email is the address used for login and for email notifications. Which events generate an email is set company-wide in Settings → Notification Settings.
  • Slack Member ID is a stored reference only — enabling Slack notifications is done in Notification Settings.

Limitations

  • Attendance records are hard-deleted. Deleted attendance cannot be recovered — there is no trash or soft-delete. Workaround: export attendance from HR → Attendance before deleting anything, and correct records with Mark Attendance instead of deleting them.
  • Salary is not editable from the profile tabs. Workaround: open HR → Employee Salary and use Add Salary on that employee to record the change.
  • Employee capacity depends on plan — Starter supports up to 10 employees, Professional unlimited. Workaround: if you reach the cap, review your plan under Account → Billing (/account/settings/billing).

Troubleshooting

  • An employee can't see a module even after being given permission. Module visibility is controlled twice: by the user's role permissions and by Module Settings, which toggles each module per user type (Admin, Employee, Client). Check that the module is enabled for the Employee user type.
  • A second clock-in of the day looks missing. When Max Check-ins per day is above 1, extra check-ins are stored as additional fields on the same day's attendance record, not as a separate row. Open that day's record to see them.
  • An HR user only sees some employees. That user's employee-record permission is scoped to Added or Owns. Change the scope to All in their role permissions to give full visibility.
  • The employee isn't appearing in a payroll run. Check the Allow Payroll Generate toggle on their Employee Salary record, and that the payroll department/employee filters include them.
