Task Labels & Categories

Label and Task Category are two of the fields available on a task. They let you classify work beyond the project and status it belongs to, so you can group, filter and report on tasks in ways that cut across projects. Both are managed centrally under Settings → Task Settings, and both can be shown to or hidden from clients in the client portal.

Who can use it

  • Company Admin — manages the values available under Settings → Task Settings, and controls whether Label and Task Category are visible to clients.
  • Any user with permission to create or edit tasks — can apply a label or a category to a task. Task create/edit access is governed by Settings → Roles & Permissions (levels: None, Added, Owns, All). See Understanding Roles.

Prerequisites

  • You are signed in to your PMSuite workspace.
  • To apply the fields to real work, at least one task must exist. See Creating Tasks.
  • To change the available values or the client-visibility toggles, you need admin access to Settings → Task Settings.

Applying a label or category to a task

The task form includes these fields: Title, Task Category, Project, Start/Due Date, Status, Assigned To, Description, Label, Milestones, Priority.

  1. Go to Tasks (/account/tasks) and open an existing task, or click Add Task (/account/tasks/create).
  2. Set Task Category to the value that describes the type of work.
  3. Set Label to the classification you want to tag the task with.
  4. Fill in the remaining task fields and save.

The same fields are available on the Recurring Task form, so regenerated instances carry the same classification.

Controlling what clients see

Settings → Task Settings lets you toggle individual task sections on or off for the client portal. The toggles cover, among others: Task category, Label, Due Date, Priority, Comment, Timesheet, Hours Logged, Project, Assigned To, Assigned By, Make Private, Add File, Notes, Custom Fields, Start Date, Description, Status, Time estimate, Sub Task, History and Copy Task Link.

Turning the Label or Task category toggle off hides that field from clients viewing the task in the client portal, while your internal team continues to see it. The client portal honours these toggles.

Other task-classification fields

FieldWhat it expresses
Task CategoryThe type or area of the work.
LabelA classification tag applied to the task.
PriorityHow urgent the task is, independent of label and category.
StatusWhere the task is in its workflow (default status for new tasks: Incomplete).
ProjectWhich project the task belongs to. Whether a project is mandatory is set by the Is project required toggle in Task Settings.

Effect on other features

  • Task views — Tasks are available in List, Board, Calendar and Whiteboard views, with Filter and Export options in the toolbar. See Taskboard and Task Calendar.
  • Client portal — Label and Task category appear to clients only when their Task Settings toggles are on.
  • Recurring tasks — Category and label set on a recurring task carry into the regenerated instance. Regeneration is triggered by completion, not by a timer, and the Cycles field must be populated. See Recurring Tasks.
  • Custom Fields — If Label and Task Category do not capture a dimension you need, you can add custom fields to Tasks under Settings → Custom Fields, each with an Allow export in table view toggle.

Limitations

  • No separate client-facing status wording. There is no system for showing clients a different or simplified status than the one your team sees — the status values are the same for everyone. Workaround: turn the Status section off in Settings → Task Settings so clients do not see it at all, and communicate progress through the task Description or a comment instead.
  • Classification is per task, not automatic. Nothing assigns a label or category for you. Workaround: set a team convention and enforce it at creation time; for repeating work, create a Recurring Task with the classification already filled in, so every regenerated instance carries the same Label and Task Category.
  • Client visibility is all-or-nothing per field. The Label and Task category toggles apply to the whole client portal, not per client or per project. Workaround: hide the field from clients and communicate the classification through the task Description or a comment where you need it selectively.

Troubleshooting

A user cannot edit the Label or Task Category on a task. Check Settings → Roles & Permissions first — task edit rights depend on the permission level (None / Added / Owns / All) for that role. After changing a permission, have the user log out and back in; changes do not always apply to an already-active session.

A client says they cannot see the label or category on a task. Open Settings → Task Settings and confirm the Label and Task category client-visibility toggles are on. If they are off, the fields are intentionally hidden from the client portal.

Tasks cannot be saved without a project. The Is project required toggle in Settings → Task Settings controls this. Set it to No if you need project-less tasks.

A task is missing from a filtered view. Confirm the task actually carries the label or category you are filtering on — open the task and check the fields, then re-apply the filter from the Tasks toolbar.
