Task Details & Fields

The task detail view is where everything about one task lives: its core fields, its attachments, its subtasks, the conversation around it, the time logged against it, and the record of who changed what. Open a task from the Tasks list and you can work on it end to end without going anywhere else — including marking it done with the Mark As Complete button on the task itself.

Who can use it

  • The task's assignee.
  • Company admins and any user whose role grants task access.
  • What each role can see and change is set in Roles & Permissions, which uses the permission levels None, Added (records the user personally added), Owns (records assigned to them) and All. View-only roles can open a task but cannot modify it.
  • Clients see tasks in the client portal only within the Label and Status client-visibility toggles configured for that project.

Prerequisites

  • At least one task must exist. See Creating Tasks.
  • Your role must have at least view permission for tasks. After any permission change, log out and back in — changes do not always apply to an already-active session.

How to Access

  1. Go to Projects → Tasks (/account/tasks).
  2. Click the task you want to open. The task detail view opens.

You can also reach the same detail view from a project's Tasks or Task Board tab, or from the Task Calendar.

Task fields

The task list shows these columns, and the same values appear on the task itself: Code, Task, Project, Completed On, Start Date, Due Date, Estimated Time, Hours Logged, Assigned To, Status.

FieldValues / notes
PriorityLow, Medium, High. Reflects urgency only.
StatusIncomplete, Under Review, Complete. Reflects where the task is in its lifecycle. Priority and Status are independent fields.
DatesStart Date and Due Date.
EffortEstimated Time versus Hours Logged.
AssignmentAssigned To, plus the project the task belongs to.

Status labels are the same for everyone — there is no separate set of client-facing status names.

Detail tabs

The task detail view organises related content into six tabs.

Files

Attachments belonging to the task — upload and download them here. See Task Files & Notes.

Sub Task

Subtasks under this task, each with its own title and description. See Subtasks.

Comment

The discussion thread for the task, where the people working on it can reply and attach files. See Task Comments.

Timesheet

Time logged against this task. Time entries record Project, Task, Employee, Start Date, Start Time, End Date, End Time and a Memo; total hours are calculated automatically from the start/end pair. See Time Logs.

Notes

Notes attached to the task, for context that does not belong in the description. See Task Files & Notes.

History

The change record for the task — use it to answer "who changed this, and when".

Completing a task

Click Mark As Complete on the task. You can also change the status from the task's own Status field or by moving the task on the Task Board. Where the project has Task needs approval enabled, completion goes through the approval step first — see Task Approval.

Effect on other features

  • Task Board: status changes are reflected in the task's column on the Taskboard.
  • Gantt Chart: date changes flow through to the Gantt Chart.
  • Calendar: tasks render on the Task Calendar in your company's timezone.
  • Recurring tasks: the task's Cycles field must be populated for recurrence to work at all, and the next instance is only generated once the current one is marked Complete — regeneration is completion-triggered, not time-based. See Recurring Tasks.
  • Reports: hours and status feed the Task Report and the Time Log Report.
  • Google Calendar: where Google Calendar sync is enabled, tasks are pushed one-way from PMSuite into Google Calendar. Items created in Google Calendar do not appear in PMSuite.
  • Slack: Slack is a supported one-way integration — once a Slack webhook is configured in Settings → Notification Settings → Slack, task-related events (including task assignment and task comments) are posted to your Slack channel. See Slack.

Limitations

  • Only three priority levels (Low, Medium, High). Workaround: use Labels and Task Categories to express finer-grained urgency or workstreams — see Labels & Categories.
  • Only three statuses (Incomplete, Under Review, Complete), and clients see the same labels you do. Workaround: use the Task Board with labels to represent intermediate stages, and enable task approval on the project where a formal review gate is needed.
  • No separate detail tab for core fields — attachments, subtasks, comments, time, notes and history are the six tabs. Workaround: the core fields are shown on the task page itself above the tabs, and can be edited from the task's edit form.
  • Google Calendar sync is one-way. Workaround: create the item in PMSuite so it appears in both places.

Troubleshooting

  • A user cannot see the task at all. Check Roles & Permissions first — the permission level may be None, Added or Owns rather than All. Have them log out and back in after the change.
  • A user can open the task but cannot edit it. Their role is view-only; view-only roles cannot modify tasks or projects.
  • The client cannot see the task in the portal. Check the project's Label and Status client-visibility toggles.
  • A recurring task stopped producing new instances. Either the Cycles field was never populated, or the current instance was never marked Complete. See Recurring Tasks.
  • The task does not appear on the Gantt Chart. Check that the task has the dates the chart needs and that you are looking at the right project — see Gantt Chart.
  • Task times look wrong on the calendar. Calendar tasks render in your company's configured timezone — check the timezone in Company Settings.
