Task Calendar View
The Tasks module can be displayed in four views: List, Board, Calendar, and Whiteboard. The Calendar view lays your tasks out by date, so instead of reading a table you can see when work falls due across the month. It is the view to use for deadline awareness and for spotting dates where several tasks land together.
Calendar entries are drawn from the dates already stored on each task, so the calendar is a reading of your existing task data rather than a separate schedule.
Who can use it
Any user whose role grants access to the Tasks module can open the Calendar view. What appears inside it is still governed by your task permissions — you only see the tasks you are already allowed to see in the List view.
Prerequisites
- At least one task must exist. See Creating Tasks.
- Tasks need dates on them to be placed on the calendar. Start Date and Due Date are set on the task record.
How to Access
- Go to /account/tasks.
- In the toolbar, switch the view from List to Calendar using the view buttons. The Calendar opens at /account/task-calendar.
To create a task without leaving the flow, use /account/tasks/create.
Working in the Calendar view
Reading the calendar
Tasks appear on the dates they are scheduled for. Each entry identifies the task, and opening it takes you to the task record, where the full detail tabs are available: Files, Sub Task, Comment, Timesheet, Notes and History.
How dates are placed
A task is placed using its Start Date and Due Date. Where a task has a start date but no due date, it occupies the start date alone. Changing either date on the task record moves the entry on the calendar.
Narrowing what you see
The Tasks toolbar carries Filter, Export, a My Tasks filter and Recurring Task setup. Applying the My Tasks filter reduces the calendar to your own workload; the Filter panel lets you cut the set down further before switching into the Calendar view.
Priorities and statuses on the calendar
Tasks carry a priority of Low, Medium or High, and a status of Incomplete, Under Review or Complete. Use these fields when filtering so the calendar shows only the work that still needs attention rather than everything ever scheduled.
Choosing between the task views
| View | Organised by | Best for |
|---|---|---|
| List | Sortable columns (Code, Task, Project, Start Date, Due Date, Assigned To, Status, and more) | Scanning, filtering, exporting |
| Board | Status columns | Moving work through its lifecycle |
| Calendar | Dates | Deadlines and scheduling |
| Whiteboard | Free-form | Visual planning |
All four views read the same task data — switching view never changes a task.
Effect on other features
- Task records: Opening a task from the calendar gives you the same record as the List view, including its History tab.
- Recurring Tasks: A recurring task only generates its next instance once the current one is marked Complete (and only if the Cycles field was populated). Future occurrences therefore appear on the calendar as they are generated, not all at once.
- Gantt Chart: The Gantt view covers the same scheduling ground with Day, Week, Month and Year zoom levels, and it includes tasks that have only a due date.
- Google Calendar: If Google Calendar Settings are configured and verified for your company, PMSuite pushes task events outward into the connected Google Calendar. The flow is one-way, PMSuite → Google; anything you create in Google Calendar will not appear in PMSuite. See Google Calendar.
Limitations
- Tasks without dates cannot be placed on a calendar. Workaround: find them in the List view, which shows every task regardless of dates, and add a Due Date so they join the calendar.
- The calendar is a scheduling view, not a workflow view — it does not group work by status the way the Board does. Workaround: use the Board for stand-ups and status movement, and keep the calendar for deadline planning.
- Google Calendar does not sync back. Events you add in Google will never show up on the PMSuite task calendar. Workaround: create the item in PMSuite so it flows outward to Google, rather than the other way round.
Troubleshooting
A task is missing from the calendar. Check that it has dates set, then clear any active Filter or the My Tasks filter, which may be excluding it. Finally, confirm your role can view that project's tasks — the calendar respects the same permissions as the List view.
A task shows on the wrong day. Open the task and check its Start Date and Due Date on the record — the calendar places the entry purely from those two fields, so correcting them there corrects the calendar.
A recurring task's next occurrence never appeared. Confirm the Cycles field was filled in and that the current instance has been marked Complete — regeneration is triggered by completion, not by time passing.
Nothing loads in Calendar view. Switch back to List to confirm tasks exist and are visible to you, then return to Calendar. If the List is also empty, the issue is filtering or permissions, not the calendar.
