Importing Employees
The Employees list has an Import action that accepts a CSV file, so you can add a batch of employee records in one pass instead of creating each person one at a time. It sits alongside the other creation paths — Add Employee (creates the record directly) and Invite Employee (emails an invitation so the person sets up their own login) — and alongside Export, which is the quickest way to see the shape of the data PMSuite already holds.
Who can use it
Users whose role gives them access to the HR module's Employees section and permission to create employee records. Employee records are permission-scoped, so a user who can only see records they own will not be able to import on behalf of the whole company — ask a company admin to run the import instead.
Prerequisites
- Your plan must have room for the employees you are importing. Starter supports up to 10 employees; Professional supports unlimited employees. If your import is larger than your plan allows, move to Professional first or import only up to your limit.
- Create your Departments (
/account/departments) and Designations (/account/designations) before importing, so imported employees can be placed into the right structure instead of being tidied up afterwards. - Have your employee data in a CSV file.
- Decide in advance which details you will set after the import rather than in the file — salary and login access are handled on the employee record, not by the import itself.
How to Access
Navigation: Sidebar → HR → Employees (/account/employees) → Import.
The same list also offers Add Employee (/account/employees/create), Invite Employee and Export.
How to import
- Open HR → Employees and click Import.
- Choose your CSV file in the import modal.
- Follow the modal's prompts to line your CSV's columns up with the PMSuite employee fields.
- Confirm the import.
- Return to the Employees list and spot-check several of the new records. The list shows Employee ID, Name, Designation, Email, User Role, Reporting To and Status, so most import mistakes are visible without opening each profile. Recently added employees carry a New Hire badge, which makes the imported batch easy to pick out.
If you are not sure which columns PMSuite expects, run Export on the Employees list first and use the exported file as your reference layout.
Effect on other features
- Employee profiles: Each imported record becomes a normal employee profile with its usual tabs — Profile, Projects, Tasks, Attendance, Leaves, Leaves Quota, Timesheet, Documents, Emergency Contacts, Increment & Promotions, Ticket, Appreciation and More.
- Directory and filters: Imported employees appear in the Employee Directory, which includes a Department column, and in the employee filter dropdowns across HR screens.
- Payroll: Imported employees do not carry salary information from the import. Set each person's salary, salary cycle and Allow Payroll Generate toggle on their Employee Salary record (
/account/employee-salary) before the next payroll run. - Notifications: Imported employees are subject to the same notification rules as any other employee. Each person can manage their own email notification preference from Profile Settings (
/account/settings/profile-settings).
Limitations
- Salary is not part of the employee import. Workaround: after importing, set salaries in HR → Employee Salary, where salary cycle (Monthly or Bi-Weekly) and the Allow Payroll Generate exclusion toggle are set per employee.
- Starter caps the company at 10 employees. Workaround: import within that limit, or move to Professional, which has no employee cap.
- Attendance is a separate import. Employee import does not bring historical attendance. Workaround: use the Import action on the Attendance screen (
/account/attendances) for attendance data. - Attendance deletion is permanent. If you correct an attendance import by deleting rows, those records are removed for good — there is no trash, no soft-delete and no recovery path, and support cannot restore them. Workaround: run Export on the Attendance screen before any clean-up so you keep a copy you can re-import.
Troubleshooting
- Imported employees are missing a department or designation. The department or designation most likely did not exist when the file was imported. Create it at
/account/departmentsor/account/designations, then set it on the affected profiles. - Imported employees cannot log in. The import creates the employee record; it is not an invitation. Use Invite Employee on the Employees list so each person receives an email invitation and sets up their own login.
- Imported employees are not receiving email. Confirm the employee's notification preference in Profile Settings, and check Settings → Notification Settings for the relevant event.
- The import is rejected because of employee count. You have reached the Starter limit of 10 employees; reduce the file or move to Professional.
- You cannot see the Import action. Your role's permission level for employees may be Added or Owns rather than All. Ask a company admin to adjust it in Settings → Roles & Permissions or to run the import. After any permission change, log out and back in — changes do not always apply to an already-active session.
