Contract Types & Templates
Every contract in PMSuite carries a Contract Type — a label such as "NDA" or "Service Agreement" that groups your agreements so they are easier to recognise and find in the contracts list. Contract numbering is controlled separately, in Contract Settings, where you set the prefix, separator, and number of digits used for every contract your company creates.
This article covers where contract types are chosen, how contract numbering is configured, and how both affect the rest of the Projects module.
Who can use it
- Company Admin — configures Contract Settings (prefix, separator, digits) under Settings → Contract Settings.
- Anyone who can create or edit a contract — sets the Contract Type on the contract form.
Prerequisites
- The Contracts module must be enabled for your company under Settings → Module Settings. Contracts is one of the toggleable modules; if it is switched off, the Contracts menu item and the contract settings do not appear.
- At least one client should exist before you create contracts, since contracts capture client details.
How to Access
- Contracts list:
/account/contracts(Projects → Contracts). - Contract numbering settings: Settings → Contract Settings.
Setting up contract numbering
Contract Settings controls the auto-generated contract number that every new contract receives.
- Open Settings → Contract Settings.
- Set the Prefix (default
CONT). - Set the Separator (default
#). - Set the number of Digits (default
3). - Save.
With the defaults, contracts are numbered CONT#001, CONT#002, and so on. Numbering is automatic — you do not type a contract number yourself when creating a contract.
Choosing a contract type
Contract Type is one of the fields on the contract form, alongside:
- Subject
- Project
- Description
- Start Date and End Date
- Contract Type
- Contract Value and Currency
- Client Details
Set the type that matches the agreement — for example a confidentiality agreement, a service agreement, or a contractor agreement. Because the type is stored on the contract record, consistent naming across your team pays off: agree one label per kind of agreement and reuse it rather than inventing variations.
Effect on other features
- Contract creation: the Contract Type is captured on the contract record alongside the other contract fields. The prefix/separator/digits from Contract Settings determine the contract number assigned at creation.
- Google Calendar: if Google Calendar Settings are active and verified for your company, contracts are among the record types PMSuite pushes out to the connected Google Calendar. The sync is one-way — PMSuite → Google Calendar. Items created in Google Calendar do not appear in PMSuite.
- Module Settings: turning the Contracts module off hides contracts and their settings company-wide without deleting existing records.
Limitations
- Contract Settings covers numbering only — there is no separate admin screen for building a contract type library. Agree your standard type labels with your team and keep them written down somewhere everyone can see, then apply them consistently on the contract form so filtering and reporting stay clean.
- No documented rich-text "template content" that auto-fills a contract's description. Write your standard clauses once in a source you control and paste them into the Description field when creating a contract. If you need a formal, generated document, use Letters (Workspace → Letters → Template at
/account/letter/template, then Generate at/account/letter/generate), which is PMSuite's built-in template-and-generate tool. - Changing the prefix, separator, or digits does not renumber existing contracts. Only contracts created after the change use the new format. Keep a note of when you changed the format so older numbers still make sense to your team.
- Contract numbering is per company, not per contract type. All types share one running sequence. If you need type-level visibility, encode it in the contract Subject (for example "NDA — Acme Corp") so it is obvious in the list.
Troubleshooting
- Contracts menu is missing: the Contracts module is switched off. A Company Admin can re-enable it under Settings → Module Settings.
- Contract Settings page is not visible: contract numbering is a Company Admin setting. Ask an admin to make the change, or have your role's permissions reviewed under Settings → Roles & Permissions.
- New contract number looks wrong: re-check Prefix, Separator, and Digits in Contract Settings — for example a Digits value of
3yields001, not01. Existing contracts keep the number they were issued. - Contract does not appear in the connected Google Calendar: confirm Google Calendar is connected and verified for the company under Settings → Google Calendar Settings, and that the contract record type is enabled there. Remember that nothing flows back from Google into PMSuite.
