Overview

Settings

Settings is where you configure PMSuite for your organization — company details, module behaviour, money and tax rules, HR policies, branding, roles, and compliance. The sidebar holds roughly 38 sections, split into Personal (settings that affect only you) and Organization (settings that affect everyone in the company).

Who can use it

Organization settings are administrator-level configuration. Personal settings (Profile, Security) are available to every user for their own account. If a section you expect is missing from the sidebar, check Roles & Permissions — visibility is permission-driven.

How to access

Open Settings from the sidebar. The hub URL is /account/settings, which lands on Company Settings.

Personal

SectionPath
Profile Settings/account/settings/profile-settings
Security Settings/account/settings/security-settings

Profile Settings covers your picture, name, email, password, notification preferences, Google Calendar connection, country, mobile, language and address, plus Emergency Contacts and Documents tabs. Security Settings is where two-factor authentication lives (Email OTP or an authenticator app).

Organization — general & branding

SectionPath
Company Settings/account/company-settings
Business Address/account/settings/business-address
App Settings/account/settings/app-settings
Theme Settings/account/settings/theme-settings
Module Settings/account/settings/module-settings
Custom Link Settings/account/settings/custom-link-settings
Sign Up Settings/account/settings/sign-up-settings

App Settings holds date/time format, default timezone, default currency, language, datatable row limit, the "employee can export data" toggle, and Client Sign Up settings. Theme Settings holds light/dark logo variants, favicon and background pattern, and gives separate theme control per panel (Public Pages, Admin, Employee, Client) — primary colour and sidebar theme (dark/light) are set per panel. Module Settings toggles whole modules on or off independently for Admin, Employee and Client.

Organization — email & notifications

SectionPath
Notification Settings/account/settings/notifications
Custom Email Setup/account/settings/company-smtp-settings
Message Settings/account/settings/message-settings
SMS Setting/account/settings/sms-setting

Without custom SMTP configured, all system email sends from the shared default address notification@pmsuite.co. Configure your own SMTP host to send from your own domain.

Organization — finance

SectionPath
Currency Settings/account/settings/currency-settings
Tax Settings/account/settings/taxes
Finance Settings/account/settings/invoice-settings
Payment Credentials/account/settings/payment-gateway-settings
E-Invoice Settings/account/settings/einvoice
Purchase Settings/account/purchase-settings
Billing/account/settings/billing

Finance Settings contains Invoice Settings, Invoice Template, Prefix Settings, Units, QuickBooks Settings and Invoice Payment Details. Supported payment gateways are Stripe, Mollie, Authorize.net, Square and Offline Payment Method.

Organization — HR & people

SectionPath
Attendance Settings/account/settings/attendance-settings
Leaves Settings/account/settings/leaves-settings
Payroll Settings/account/payroll-settings
Overtime Settings/account/overtime-settings
Performance Settings/account/performance-settings
Recruit/account/recruit-settings

Recruit Settings is also where the Google reCAPTCHA toggle lives — not Sign Up Settings.

Organization — per-module

SectionPath
Project Settings/account/settings/project-settings
Task Settings/account/settings/task-settings
Time Log Settings/account/settings/timelog-settings
Lead Settings/account/settings/lead-settings
Ticket Settings/account/settings/ticket-settings
Contract Settings/account/settings/contract-settings
Asset Settings/account/asset-setting

Organization — access, compliance & connections

SectionPath
Roles & Permissions/account/settings/role-permissions
Custom Fields/account/settings/custom-fields
GDPR Settings/account/gdpr-settings
Google Calendar Settings/account/settings/google-calendar-settings
Zoom Settings/account/zoom-settings

Permission levels are None, Added, Owns and All, set per module and per action (view/create/edit/delete). Custom fields can be added to Client, Employee, Project, Invoice, Estimate, Task, Expense and Lead records.

White-label quick access

The sidebar also surfaces white-label shortcuts: Custom Domain (/account/custom-domain), Company Profile (/account/white-label/company-profile), Login Branding (/account/white-label/login-branding) and Custom Email Setup. The Clock In button sits at the bottom of the sidebar, alongside the dark-mode toggle and the Billing and Help links.

Limitations and workarounds

  • Google Calendar sync is one-way — PMSuite pushes into Google Calendar only. Items you create in Google Calendar do not appear in PMSuite. Workaround: create the event in PMSuite so it pushes to your Google Calendar.
  • QuickBooks sync is one-way — PMSuite to QuickBooks only. Nothing flows back from QuickBooks.
  • Slack notifications are one-way (PMSuite → Slack) via a single incoming webhook. Connect Slack under Notification Settings → Slack tab (status checkbox, webhook URL, notification logo, ~30 per-event checkboxes, Save, Send Test Notification) — see Slack. All enabled events post to the one channel that webhook targets; for per-channel routing use Zapier or the API/webhooks. Separately, the "Slack" tab under Zoom Settings is only a single Zoom Meeting created checkbox.
  • For payment collection we recommend Stripe, Mollie, Authorize.net, Square, or the Offline Payment Method. These are the gateways our support team can help you configure and troubleshoot.
  • Clock-in IP checks are only reliable on a static IP. On a dynamic office IP, use the location radius check instead.
  • There is no platform-wide default country or phone code. The phone code auto-fills per record from the Country field on each Client/Employee.
  • Tasks have no separate client-facing status labels. Clients see the same status values as internal users; hide fields via Task Settings visibility toggles instead.
  • Leave types cannot be hard-deleted — archive them from the Archived Types tab.

Troubleshooting

  • A user says they still can't see a module after you granted permission. Confirm the change saved against the right role/module/action, then have them log out and back in — permission changes don't always apply to an already-active session.
  • A settings section is missing from your sidebar. Either the module is switched off in Module Settings or your role lacks permission for it.
  • Emails arrive from an address you don't recognise. Custom SMTP isn't configured yet; set it up under Custom Email Setup.
  • reCAPTCHA isn't working on your public form. Enable it under Recruit Settings, and whitelist your domain separately in the Google reCAPTCHA admin console.
